Reports to the SVP & Chief Employment and Corporate Infrastructure Counsel. Primary job responsibilities include providing administrative support for the Employment Legal team. In addition, secondary responsibilities include assisting in contract drafting of employment and separation agreements and coordinating various projects for the Employment Legal team.
Provide administrative support for a busy team in a fast-paced environment. Must be able to prioritize and multi-task. Prepare and compose written correspondences, emails, reports or any other documents, etc. Resolve routine inquiries from internal departments as necessary. Ability to handle confidential matters appropriately and with discretion and independence.
Under the supervision of an attorney, draft, revise and finalize various employment-related agreements and other documents. From time to time, legal analyst will, under the supervision of an attorney, act as a lead coordinator for various projects (in areas such as employment, compliance, data privacy, etc.) for the Employment Legal team. Act as document gatekeeper for all legal documents within the Employment Legal team and ensure that all documents are accurately filed and updated electronically. Familiarity with Microsoft Office and electronic document management systems (e.g., eDocs, iManage) is critical.
Detailed Job Description/ Responsibilities:
• Provide administrative and office support activities for Employment Legal team including: answering phones, direct calls and taking messages; coordinating calendars & scheduling, business travel, conference calls; photocopying/create PDFs; processing and tracking of T&E expenses, packages, messengers, payment invoices (including the seeking of necessary approvals)
• Prepare all correspondence (memos, emails, letters) as required
• Update and maintain employment contract status sheet and prepare weekly status updates for team meetings
• Act as document gatekeeper for all Employment Legal documents, which includes ensuring document consistency and accuracy across all templates and forms
• Maintain filings systems (both hard-copy and electronic), including scanning of documents into database and handling of executed contract copies
• Under the supervision of an attorney, draft, revise, occasionally negotiate, and finalize various contracts (including basic and more complex employment/separation agreements/resignation letters), various other employee-related correspondence, NDAs and vendor agreements
• Respond on a timely basis to inquiries from senior executives, HR group and outside counsel on various issues related to employment/separation agreements and vendor agreements
• Responsible for obtaining the necessary approvals for contracts and liaising with outside counsel and internal business units/counsel in contract negotiations
• Responsible for acting as lead coordinator for various projects for the Employment Legal team and ensuring that project deadlines are met in a timely fashion
Required Competencies/Skills:
• Excellent general computer skills, including working knowledge of Microsoft Office (e.g., Outlook and Calendar, Word, Excel, PowerPoint), Adobe and document management systems (e.g., eDocs, iManage, etc.)
• Accurate filing and maintenance of documents (both hard-copy and electronically)
• Excellent interpersonal skills and exhibits professionalism – and ability to effectively communicate and interact with senior executives and various levels of management
• Excellent organization and execution skills and ability to multi-task by prioritizing and tracking multiple projects and deadlines
• Excellent verbal and written communication skills
• Excellent analytical skills
• Extremely detail oriented
• Strong editing skills
• Team player that enjoys working with a wide variety of senior executives and various levels of management and can work effectively both independently and in groups

• At least 2 years of experience at a law firm or in-house legal department
• Experience and background in contract drafting is a plus
Special Requirements/Preferences:
Overtime may be required occasionally; previous contract drafting experience preferred

Education Required:
Bachelor’s degree with 2-4 years of relevant professional experience.
Paralegal certification and/or law school training (from ABA accredited school) a plus
