High Level Job Description:
Administration of the Oracle Item Master including the assignment of upcs, the setup and maintenance of all items, and the administration of pricing and discounts. Manage all aspects of replenishment of finished goods and component inventory for catalog product for Records and Word Music as well as transfers for all divisions.
Detailed Job Description/ Responsibilities:
• Assign, setup, and maintain all items (physical, digital, commercial, and promotional) in Word’s Oracle system.
• Enter all upcs into SAP Word UPC Z-Table Maintenance.
• Assign and maintain pricing and discounts for all items in Oracle.
• Perform weekly item setup check, reconcile discrepancies, and distribute file for review.
• Attend production meetings and update all systems accordingly.
• Manage finished goods and component inventory levels for both Records and Word Music.
• Issue purchase orders for production components and services as well as finished goods for the Records and Word Music divisions.
• Manage stock transfers of Recorded and Merch products between the WEA and Word warehouses using both Oracle and ESS.
• Maintain tracking files for the management of the stock transfers.
• Follow up on open purchase orders and resolve workability issues, expediting orders as needed.
• Reconcile inventory and purchase order variances including receiving exceptions between the Oracle and Menlo warehouses, WEA Distribution, and the SAP system.
• Coordinate the resolution of invoices related to finished goods and component purchases, communicating with vendors and accounts payable.
• Process PO receipts in Oracle for Merch blank purchases, finished goods drop shipments and all products shipped to WEA.
• Expedite production of items on backorder and/or having less than a 10 day supply.
• Handle distributed label inventory inquiries.
• Assist customer service with inventory inquiries.
• Coordinate promotions and SXP set ups in Oracle as requested by Word Distribution.
• Other duties as assigned or required.
Required Competencies/Skills:
• Excellent written and verbal communication skills
• Strong analytical skills
• Strong systems skills including MS Excel and familiarity with databases and database reporting.
• Ability to manage multiple tasks at one time
• Detail oriented with excellent organizational skills
• Computer experience including Microsoft Office package
Special Requirements/Preferences:
• Oracle knowledge preferred
Education Required:
• College degree preferred
• Basic knowledge of purchasing and inventory management preferred
• Entry level – 0-3 yrs
