Detailed Job Description/ Responsibilities:
• Directly provide administrative support for EVP of brand partnerships & commercial licensing.
• Manage day to day relations/communications with brand and agencies clients, as well as internal communications with all departments.
• This includes sending new music and updated information tothe music distribution lists, inviting clients to shows in their markets and managing ticket solicitations for the dept. Creating and sending internal brand partnership alerts, and communicating all relevant information, per the EVP’s instruction, to brand and agency partners.
• Coordinate preparation of strategic marketing plans to client, as well as follow-through for completed deals. This includes design of presentations in PowerPoint/Adobe, gathering of collateral/assets and communications between management, WBR and clients in order to finalize campaign.
• Manage department operations, including client billing, income tracking and vendor payments
• Use research tools such as Soundscan, NPD Consumer Profiles, Next Big Sound, and Redbooks as well as public sites such as YouTube, Facebook and Twitter, Instagram, Snapchat and Vine to develop comprehensive market reports on consumer behavior attitudes, and statistics across a wide array of industry sectors.
• Manage cloud storage site (ie, box.com, You Send It) in order to host and distribute marketing materials to clients.
• Liaise with music departments at brands and ad agencies as well as music supervisors to send music for specific pitches. This involves wide knowledge of WBR’s Roster and understanding of licensing processes.
• Work with brand and agency partners to set up or host showcases for clients. This includes scheduling, working with management and artist development to host WBR showcases at studios/agencies to promote new records.
• Manage daily schedule and travel schedule of EVP, including booking of all travel arrangements, managing daily calendar, playing close attention to the detail of the day, and what tools might be needed to complete everything in the calendar.
• Assist department with daily projects or other assignments as needed and requested.
• Research and compile materials needed for meetings, calls projects etc., including department updates, synch tracking grids, artist guides and one-sheets.
• Coordinate in-house and external meetings regarding status of projects and assignments.
• Coordinate and oversee document production and projects, as requested.
• Responsible for department ticket solicitation, coordinating VIP passes and artist meet and greets for department and clients.
• Coordinate artist and third party travel for department events and client visits when necessary.
• Coordinate artist lunches, dinners and after parties for NY office.
Required Competencies/Skills:
• 2-4 years of experience.
• Comprehensive PC and Mac experience, especially with Microsoft PowerPoint, Outlook, Explorer, Word and Excel.
• Typing at 45 wpm with excellent spelling, grammar and writing.
• Internet experience is essential and working knowledge of Blackberry is preferred.
• Working knowledge of Photoshop and PowerPoint a must.
Education Required/Preferred:
• Bachelor’s degree preferred
