We are currently looking for an enthusiastic, detail oriented, team-player, and results-driven individual for the full-time position of Administrative Assistant, Administration, based in Los Angeles. This individual will be responsible for providing administrative assistance to the Administration department. This is a fun and challenging position in a fast-pace environment.
Detailed Job Description/ Responsibilities:
• Welcomes visitors, screens and directs phone calls/inquiries, processes expenses, schedules and coordinates domestic and international meetings, maintains all calendar items, coordinates domestic and international travel, processes incoming mail and correspondence, prepares outgoing mail, and ensures the office is always fully equipped and functions smoothly.
• Updates client addresses and add heirs in database, as needed.
• Assists with vendor set up in company database.
• Researches and requests checks for back royalties.
• Researches copyright counterclaims.
• Confirms song splits in company database for outside parties.
• Updates song information in database.
• Grants approvals for print licenses based on contract brief, reaching out to writer contacts as necessary
• Interacts with writers and publishers relative to income and distribution of royalties.
• Assists with various Administration special projects as assigned by direct Supervisors
• Organizes and expedites flow of work through office.
• Communicates supervisor’s instructions or desires to various individuals and/or departments.
• Prepares and updates recurring and routine internal reports, collects and verifies data, refers problems to manager for resolution.
• May maintain and update department files, records, and publications; maintains confidential files and materials.
• Handles and safeguards confidential and proprietary information

Special Requirements/Preferences:
• One (1) year of responsible administrative experience, preferably to have been obtained within a music publishing or related company
Education/Experience Required:
• A high school level education is required. A baccalaureate degree is preferred, augmented by course work in music business or related field.
• A satisfactory equivalent of education, training and experience in related fields and/or educational disciplines, sufficient to qualify for the requirements of position.
