Summary:
We are currently looking for an enthusiastic, detail oriented, team-player, and results-driven individual for the full-time position of Administrative Assistant for our Legal and Business Affairs department based in Los Angeles. This individual serves in the capacity of administrative assistant to an executive and performs responsible administrative duties connected with the operations of the affected department. Performs related work.
Detailed Job Description/ Responsibilities:
Essential Duties and Responsibilities include the following. Other duties may be assigned.
• May take dictation, prepare, transcribe, process and distribute correspondence, detailed reports, statistical analysis, status reports, forms of contracts, agreements, licenses, memoranda and other related matters of confidential and/or complex nature for the principal being served.
• Participates in and may relieve the principal of, certain assigned administrative details, discharges other secretarial responsibilities requiring intimate knowledge of departmental and/or Company functions, policies, procedures and programs. Interfaces with heads of staff of the various Company departments.
• Is responsible for telephone communication, screening and directing incoming and outgoing calls and maintaining proper logs connected therewith.
• Receives and directs incoming mail and memoranda, receives callers and visitors, keeps schedules of appointments and makes reservations for the principal and other department staff, including travel planning and arrangements.
• Makes computer entries of forms of agreements and contracts including changes, revisions, deletions, form and system changes.
• Prepares check requests and makes distribution thereof.
• Maintains attorney/client cards and assists in legal status reports.
• Must be able to read and understand materials and documents and have the ability to recognize and extract critical data and information.
• Must be able to come to work on time without restrictions as to time commitment.
• Must be able to lift up to 20 pounds on a semi-regular basis and perform other diverse physical tasks as needed.
• Must be able to work at and utilize all functions of a computer if necessary up to at least 10 hours a day to perform the required tasks and create and develop the necessary reports to summarize the results of research and projects and to communicate with others in the Company and with those necessary outside of the Company.

Special Requirements/Preferences:
Two (2) to three (3) years of responsible administrative and office experience, preferably in a music publishing or related business, performing administrative functions to have included at least some of the operations, or,
A satisfactory equivalent of education, training and experience sufficient to qualify for the duties of the position.
Education/Experience Required:
High school level education, to have included or thereafter be augmented by course work in office practices, management, business and/or contract law, correspondence, administrative skills including telephone communication, receptionist duties, computer operation including various and extensive computer input operations and other office appliances would be desirable
