SUMMARY OF POSITION
WCI Global Business Services Inc. seeks a Specialist, Human Resource Administration for the Global Business Services Inc. department. As Specialist, HR Administration, handles the data input of on-boarding and termination employee data. Processes data corrections in HR and Payroll systems. Functions as Administrator for the Online Timesheet application in WorkBrain and creates and distributes organizational charts. Performs general clerical and administrative support functions for HR department. Assists with the administration of HR programs such as position management and performance reviews . Processes documents related to day to day tasks performed by the Workforce Administration team and ensures data quality control. Assist internal and external clients, HR business partners and employees with questions and concerns.
JOB RESPONSIBILITIES
• Process Domestic and International employee transactions using HireXpress, HRDD, PeopleSoft and WPR. Transactions include new hires, promotions, transfers, pay adjustments, PSC input etc. Administer termination processing: requesting final checks, scheduling exit interviews. Audit HR and Payroll systems to ensure correct information has been input and processed. Run and distribute monthly reports & Ad/Hoc reports to divisional & HR management as needed. Administers position management.
• Submit and/or process Data Correction requests from field or as a result of internal audits. Work with HR to identify issues and make corrections to employee data. Council HR when correction may impact other employee data such as vacation accrual, pension, benefits, bonus etc.
• HR Receptionist duties – greet and direct visitors; answer main phone line, direct calls; arrange for courier pickup and delivery. Issue new and replacement ID Badges.
• Administer Online Timesheet process to provision accounts and make updates and changes to system. Assist HR and Approvers with questions on how to use tool. Maintain employee and approver status by reviewing audit reports on a weekly basis. Respond to Remedy tickets within appropriate Service Level Agreements set forth by department. Assists in the compiling of weekly paper timesheets for approval and submittal to payroll for processing. Troubleshoot payroll, timecard and check issues with Payroll.
• Tracking of various union employees work activity - overhead union temporary employee work status for 30 Day Off Payroll processing (Local 11; SSFA; OPEIU; SEIU); Distributes report to department management and Labor Relations for final review and approval to process termination; granted days off and alternative days off taken.
• Maintains and distributes various departmental reports (union rosters, etc.). Review of monthly overhead union and quarterly backlot vacation balances reports for any discrepancies; researches with payroll and department management to resolve and reconcile.
• Assists in the performance review program – tracking timely distribution of introductory performance appraisals and return of completed forms. Sends out IPA form and instructions to management for newly hired employees. Coordinates communication, including instructions and timeline reminders for the return of the completed form. Follows up with Management on delinquent appraisals. Assist with TRP process as needed.
• Ensures all materials distributed in WBSF facilitated orientations are current and supply levels are maintained; maintains and updates departmental orientation procedures. Attends corporate orientation on a monthly basis. Assembles orientation packets in preparation for all union and temporary employee orientations.
• Point person for satellite terminals hire/term process; Provides updated packets to backlot management as needed, monitors changes in staffing of designated trained representatives and ensures new representatives are provided with procedures and necessary training.
• Maintain Divisions global organization charts and headcount reports on a monthly basis. Partners with Senior Management on Departmental & Divisional reorganizations. Prepares proposed organization charts & assists with preparing job descriptions. Liaises with Compensation Representatives where appropriate. Processes approved changes for supported divisions.
• Processes Recruitment transactions. Works with HRIS to open recruitment requisitions and ensures positions are posted on job site. Reviews and approves offer letters and TADs for Recruitment Coordinators.
• Support Human Resources management with miscellaneous tasks and special projects such as assisting with coordination of employee communications and distributions of employee perks such as DVD's.
JOB REQUIREMENTS
• College degree or equivalent experience in related field required.
• Human Resources Certification or HR coursework preferred.
• Minimum 2 years Human Resources administrative or related experience required.
• Experience of International environment desirable.
• Studio/entertainment industry experience strongly preferred.
• Strong computer skills required, including Outlook, Excel, Word, PowerPoint and Org Plus.
• Bilingual English/Spanish preferred.
• Proficiency with Access preferred.
• Experience with personnel and payroll data systems (e.g. PeopleSoft) preferred.
• Strong verbal and written communication skills required.
• Strong diplomacy and adaptability attributes to contend with exposure to upper management.
• Must possess strong logic and reasoning skills.
• Must have the ability to plan for, prioritize and execute multiple recurring and ad hoc tasks.
• Strong analytical skills with extreme attention to detail.
• Must have the ability to work well under time constraints.
• Must have the ability to take own initiative and work independently.
• Must be able to communicate effectively and tactfully with all levels of personnel, in person and on the phone.
