Full Time Job
High Level Job Description: Under direct supervision of the Production Manager or other executives as the company may designate, oversees and facilitates all studio/engineer services as well as maintains and markets studio and records in an effort to generate revenue for studios.
Detailed Job Description/Responsibilities(Include the following, other duties may be assigned):
Participate in Production Meetings under direction of VP Creative and Production Manager - weekly.
Calendar all studios.
Coordinate Music Preparation.
Manage Work Flow within the building - Outside and WCPM Production work.
Oversee and schedule daily operations of recording studios.
Set session times in studios making sure it doesn't conflict with other bookings (double book, overlap).
Assign control room and engineer, ensure room is set up, piano tuned if required.
Take all calls from clients and prospective clients about studio.
Provide information including size and descriptions of rooms, prices, set up, musicians, cost estimates.
Suggest musicians, engineers, producers, copyists, arrangers, orchestrators, etc.
Interface with engineering and production staff to insure accurate exchange of session information.
Monitor efficient use of studios at all times to insure projects of the highest priority are being completed.
Welcomes visitors, screens and directs phone calls/inquiries, processes expenses, maintains all calendar items, processes incoming mail and correspondence, prepares outgoing mail, and ensures the office is always fully equipped and functions smoothly.
Maintain front reception desk, lobby and guest waiting area.
Greets and assists guests which includes, but is not limited to, notifying staff of visitors in reception area.
Ensure proper sign-in and enforce security procedures.
Answers and provides direction and/or information to all incoming callers to main phone line of Company.
Oversee Engineer Activities:
Scheduling of engineers time.
Manage logistics between Producers - Creative VP, CCO, Etc.
Maintain Production Calendar for each studio - Studio A, Studio B, Studio C.
Oversee and coordinating scheduling for Cutdowns Project .
Contract and Coordinate Musicians
Keep list of all musicians current.
Coordinate vendor applications and set up for Musicians (under Production Manager).
Contract all sessions.
Prepare bids and follow up for all Sessions.
Insure accurate sign-in and out of all musicians at each session.
Call musician breaks at appropriate intervals and insure musicians return to the session promptly.
Monitor sessions in progress for any problems caused by engineering or contracting.
Review and maintain studio logs for each session.
Complete and maintain musician logs for each session.
Interface with producers, composers and other related personnel to determine session requirements.
Handle session billings and payments with clients.
Attend to the needs of studio clients during sessions to insure a smooth operation.
Perform various projects as assigned by clients, producers and accounting.
Sort incoming music for sessions and direct to proper recipient.
Arrange for rental and payment of instruments not normally provided by musicians.
Interface with copyists and arrangers as needed to complete sessions.
Administer incoming/outgoing mail and shipping of packages to clients.
Insure studios are prepared for client's arrival.
Coordinate catering of food during sessions that prohibit adequate breaks for staff and clients.
Collect required deposits.
Stay until session is complete, produce invoice and collect payment at end of each session.
Coordinate Filemaker Development in conjunction with Production Mgmt Staff
Oversee final development of the software.
Coordinate the Beta Testing.
Interface with Licensing Director and the programmers on tweaks to the program.
Organize the implementation of the Archiving component with the Engineers.
Marketing Studios
Coordinate with Marketing Manager and A&R Production Music Coordinator on any and all marketing.
New Client contacts and lists.
Updating LA East website.
Studio Maintenance
Schedule Studio maintenance Issues with Engineers .
Organize events: monthly birthdays, listening lunches, holiday events.
Sort and administer incoming/outgoing mail and/or materials as well as the handling the shipping of packages.
Uses discretion and judgment when screening visitors and telephone calls, scheduling appointments and organizing workload to meet established priorities.
Stock, clean and organize office supply and work areas.
May maintain and update department files, records, and publications; maintains confidential files and materials.
Assist with arrangements for meeting spaces (i.e. placing any orders necessary for supplies or services, setting up any equipment as needed).
General responsibility of a corporate executive or other management figure's logistics and operational needs to include but not limited to: the orderly scheduling of all business activities, scheduling of travel arrangements for CCO; expense reports; preparing and typing correspondence, assisting with confidential matters, and performing research for special projects as assigned.
Screen all correspondence and publications, bringing those of significance to the Company's attention.
Archiving and Filemaker
Coordinate the archiving of master session for the Library, News, and Custom projects within Filemaker and the Cloud.
Oversee the further development of the Filemaker software programming.
Training and implementing the use and development of the Filemaker program for Metadata.
Contribute to the metadata process.
Coordinate with the registering of all content with Production Music Administrator in LA.
Required Competencies/Skills:
Required basic knowledge of large multi studio operations including a working knowledge of the duties of the engineering staff, technical support staff, studio assistants, music editors, copyists and related positions.
Flexible work schedule required to accommodate varying session times and client production needs.
Strong interpersonal skills.
Strong phone skills.
Highly developed multitasking skills.
Ability to work effectively as a member of a team.
Strong written and verbal communication skills.
Self directed to complete requirements of each session 100% and on time.
Working knowledge of Microsoft Office and Filemaker Pro.
Operate basic office equipment such as copying, faxing, scanning, word processing, data entry.
A satisfactory equivalent of education, training, and experience in related fields and/or educational disciplines, sufficient to qualify for the requirements of the position.
Good writing skills.
Knowledge of musical genres, styles, instrumentation, tempos etc.
Education/Experience Required:
Bachelor's Degree in Music-Related Degree is preferred, with a minimum of three (3) yrs studio operations/mgmt/booking/mktg experience required.
