Department Description:
The production department manages all steps in the manufacturing process and the inventory for both the Records and Print Music Divisions . Primary functions include managing the first time production of new release items as well as replenishing and managing the inventory for all commercial goods and the associated components.
High Level Job Description:
To manage the production and inventory for all print music products; manage inventory replenishment for both print division and distributed print labels; manage the NYP Release process for all print products.
Detailed Job Description/ Responsibilities:
• Manage production for all choral print music releases. This includes all choral books, listening CDs, accompaniment CDs, practice trax, bulk CD packs, director kits, DVDs, choral book orchestrations, anthems, choral trax, anthem orchestrations and stand-alone orchestrations as well as any special items.
• Manage all print music inventories. Use buyer’s document and other tools to help maintain proper inventory, back order, and fill rate levels.
• Manage the production of vocal solo songbooks, and piano and organ books.
• Issue purchase orders for production components and services as well as finished goods.
• Work with print music department, contract editors and art directors to insure the timely and quality assured release of all print music products.
• Serve as company representative to print music production vendors, striving to constantly improve vendor relations, performance and pricing. This includes, but is not limited to, book and graphics printers, CD manufacturers, binder manufacturers, label manufacturers, orchestration copiers, designers, and color separators.
• Manage, coordinate and execute product releases for all Word Music products. This includes communicating and coordinating with consignment print labels and Menlo warehouse personnel.
• Process work orders for Word Choral Club, DPRs, VPRs, BCDs, and other kitting needs.
• Manage hymnal manufacturing and inventory for all hymnal product lines.
• Issue all requests for bid to all print music vendors, as well as prospective vendors.
• Resolve invoicing issues with accounts payable in SAP and Ariba buyer’s resolution, communicating with vendors regarding billing overcharges, & update system accordingly when necessary.
• Provide inventory and sales analysis.
• Be an innovator: Constantly seek out ways to improve internal systems, procedures, and processes as well as reduce costs.
• Assist customer service with inventory inquiries.
• Design and maintain production status report.
• Aid print music department in developing new products and standards as well as improving and/or reducing the cost of existing products.
• Maintain graphic component levels for print music.
• Reconcile inventory and purchase order variances including receiving exceptions between Oracle and Menlo warehouse management system.
• Handle distributed print label inventory inquiries.
• Attend and provide input in weekly production meetings.
• Assist and aid Department Executive Director.
• Work with licensing to determine if items are approved to go to manufacturing.
• Work to locate all files necessary when moving products to different vendors.
• Process orders for distributed print labels.
• Add pertinent new item information to Oracle (i.e. vendor, page count, binding type).
Required Competencies/Skills:
• Very detail oriented with excellent organizational skills
• Self-starter with strong problem solving skills and the ability to overcome obstacles to achieve success.
• Expert ability at managing numerous projects, systems, and tasks at one time
• Strong MS Excel skills. Must be comfortable working in a detailed spreadsheet environment
• Excellent written and verbal communication skills. Must be able to effectively communicate with both internal and external points of contact.
• Experience working with third party manufacturers and managing internal and external deadlines
• Strong relationship development skills
• Strong analytical skills
• Project management experience
• Experienced in Inventory management and replenishment
• Able to work successfully as part of a group as well as independently
Special Requirements/Preferences:
• Music background preferred
• Computer experience including Microsoft Office package, Oracle Inventory, Purchasing, Bill of Material, and Work in Process as well as SAP Procure to Pay.
• Manufacturing experience including optical media and printing preferred
Education Required/Preferred:
• Bachelor’s degree
