Department Description:
The video department handles all aspects of music video and content production for the entire Atlantic Records Group roster of artists. We are a fast paced and resourceful creative team in charge of managing artistic visions for multiple projects and artists.
High Level Job Description:
• Draft Agreements for music video productions for Atlantic Records and on behalf of affiliated labels.
• Review and file agreements, wrap books and talent releases. Negotiate terms of agreements and releases when necessary.
• Liaise with the business and legal affairs department to identify and troubleshoot clearance issues in video treatments and the resulting final video product.
• Get approval from business and legal affairs to ensure that rights are in place before videos are contracted and that the videos are approved for servicing and commercial exploitation.
• Confirm with business and legal affairs, when necessary, that guest artist/side artist appearances are cleared and publishing rights are secured.
• Confirm with strategic marketing and business and legal affairs that product placement deal is approved, if necessary.
• Confirm with marketing/business and legal affairs that film deal requirements are adhered to.
• Confirm, when necessary, that appropriate chyron requirements are met for a particular video. In the case of a video not created or directly produced by Atlantic, ensure that the video is contracted and that talent/location releases are in place.
• Confirm with business and legal affairs that rights are secured to service the acquired video to various outlets.
• Confirm with video production and various departments the servicing plans for the acquired video.
• Generate video budgets. Obtain internal approval for budget from executive staff.
• Review all production company budgets (i.e. AICP budgets).
• Administer all payments for music videos pertaining to the production, including but not limited to: production company payments per the agreement, artist travel, sound package creation, video commissioner payments and incurred expenses, and any other expenses pertaining to the video production.
• Keep track of all costs within each budget. Audit wrap book’s actualized budgets, receipts and clearances for all videos.
• Coordinate video billing for product placement, affiliate and motion picture contributions with attorney, product manager, strategic marketing and the Accounts Receivable Department.
• Coordinate with Producer and/or Production Manager for each music video to make sure that the production company has completed the insurance questionnaire, provided proof of workman’s compensation, ordered an audio package, if necessary, and understand Atlantic’s delivery requirements and any other guidelines regarding clearances and releases that may be required by business and legal affairs.
• Approve the slate and copyright info for video productions prior to servicing. Provide slate and copyright info to the Video Promotion department for submissions to networks and other media outlets to ensure that marketing and legal commitments are adhered to.
• Confirm with the appropriate Marketing Manager and A&R person the correct version of the audio to shoot to in order to create the audio package for the pending video production.
• Follow through on all insurance claims. Review all pertinent paperwork and ensure that the insurance reps and insurance adjuster’s questions are addressed.
• Cover various video shoots when required, ensuring that the treatment, budget and agreement are adhered to.
Detailed Job Description/ Responsibilities:
• Contract all music videos for the Video Production department. Negotiate agreements, when necessary.
• Budget music videos for Video Production.
• Administer all payments, insurance coverage and pertinent paperwork relating to music videos for Video Production.
• Coordinate video billing for product placement with the appropriate parties, internally and externally.
• Accessible at nights and on weekends during relevant productions.
Required Competencies/Skills:
• Proficient in Windows based Microsoft applications such as Excel, Outlook, and Word.
• Proficient in SAP.
• Ability to highlight business affairs and insurance liabilities during pre and post production of music videos.
Special Requirements/Preferences:
• Business affairs background. Understanding of contractual language. Ability to negotiate terms of an agreement.
• Related experience in a contract administration position necessary. Understanding of both business affairs and production accounting.
• Working knowledge of Insurance coverage.
Education Required:
• Bachelor’s degree.
