Seeking an exceptionally talented, dependable, resourceful, and self-motivated Assistant who will support the Marketing Department in our Burbank office. The ideal candidate will be a detail oriented, organized professional with the demonstrated ability to respond effectively and efficiently while maintaining flexibility, composure and a good sense of humor.
The individual in this role must understand business priorities, demonstrate the ability to proactively anticipate needs and drive improvements to build capacity for the leadership team. A high level of integrity and discretion in handling confidential information as well as professionalism in dealing with senior executives inside and outside of the company is critical. The successful candidate will possess the skills to complete complex tasks and projects quickly with little to no guidance, react with appropriate urgency to situations which require a quick turnaround, be able to take effective action without having to know the complete picture, and efficiently and proactively solve difficult or complex problems that affect people within the department or other related group
Here you'll get to:
• Manage department phones and maintain calendar for appointments, calls, meetings, VIP visitors, key projects and follow-up tracking.
• Confirm appointments & meetings
• Schedule conference calls & in person meetings among multiple parties
• Take minutes for meetings to be distributed timely following conference call or in person meetings
• Calculate and submit expense reports in a timely manner.
• Assist in the processing of invoices and POs in SAP and with vendors.
• Coordinate travel arrangements and travel itinerary, including venue details.
• Supervise manager's desk in his/her absence; make informed decisions as necessary and provide necessary follow up
• Function as the liaison between senior management and clients, etc.
• Research, compile and present projects as requested.
• Coordinate in-house and external meetings and reporting regarding status of projects and assignments regularly.
• Send out weekly project designed documentation to the company including research & key highlights for each artist.
• Maintain client files, contacts database and record keeping.
• Order supplies and equipment for designated practice area.
• Maintain both physical and digital mailing lists.
• Attend calls and meetings, as requested, providing a written recap of the discussion with follow-up steps.
• Complete special projects and other duties as assigned.
Rockstar candidates will be able to:
• Demonstrate a wide degree of creativity and resourcefulness while still practicing professionalism
• Ambition, and an ability to prioritize
• Strong multitasking skills, with the ability jump to several different tasks each day
• Business-oriented personality with entrepreneurial spirit
• Able to learn from mistakes and criticism
It would be music to our ears if you also had:
• Strong writing, editing and proofreading skills with an ability to present concepts verbally
• Excellent organizational and planning skills
• Some experience preferred, but not required
• A diligent worker who is detail-oriented and accountable
• A desire to work in a fast-paced environment with varied responsibilities
• Technical Skills:
• Comprehensive PC and Mac experience, especially with Microsoft PowerPoint, Outlook, Explorer, Word and Excel and InDesign
• Internet experience is essential.
• Working knowledge of Photoshop and PowerPoint a must
• BS/BA required.
