Warner Bros. Television seeks a Music Coordinator for the TV Music department. The position will provide administrative support to the Director, Music Licensing for payment of third party licenses and distribution of music cue sheets and requests for music licenses and to coordinate Music Contracts procedures and practices in addition to providing administrative support to the Director, Music Contracting.
JOB RESPONSIBILITIES
Assists in verifying work eligibility of performers, including status of AFM and SAG performers. Assists in ensuring all work requirements are in place, including minor requirements and visas. Distributes proper contracts and start paperwork to over 30 productions along with department staff. Ensures that contracts and payroll forms are properly completed and executed and follows up on missing information. Track paperwork status and ensures proper payments are made within deadlines. Field inquiries from production regarding proper paperwork and contracts.
Receives and distributes production information and assists in organizing information and maintaining files for Director, Music Contracting. Sets up organization systems, scans and copies contracts, paperwork, scripts, staff & crew lists, budgets, etc. and files information appropriately. Creates and updates charts as needed and distributes to necessary parties.
Reviews music supervisor packets for Director, Music Clearance for accuracy to ensure all elements are delivered properly as per their contractual obligations. Inputs into departmental database song and license fee information for all third party songs cleared by Director, Music Clearance and/or outside music supervisors relating to WBTV and Warner/Horizon productions.
Drafts quote request letters for supervisor's execution. Generates for Director, Music Licensing's approval, signature and mailing quote confirmation letters, license request letters, check approval sheet, and check transmittal letters.
Ensure third party publishing information is accurately documented for Rapid Cue System (Performing Rights Societies). Monitor and track music supervisors' delivery of episode close-out packages and advise music accountant when to release supervisors payments. Collection of cue sheets from music editors, distribution of same to music licensors, and makes cue sheet corrections when required by third parties for all shows handled by supervisor.
Review AFTRA and AFM New Use claims and confirm air date, show and episode information as claimed. Verify applicable wages and confirm master use. Process claims for payment. Draft payment letters and mail payments and correspondence to unions.
Preparation of Accounts Payable paperwork and the researching and providing of vendor payee information for all checks processed, as well as handling of all stale-date check issues.
Answers telephones, screens, logs, and places calls. Coordinates and schedules appointments, meetings, etc. Provides telephone back up to TV Music Department staff as needed.
Performs other related duties and conducts special projects, including analysis and reports as assigned.
JOB REQUIREMENTS
High School diploma or equivalent.
Must have good grammatical skills.
Must have good basic math skills.
Must be able to prioritize tasks and multi-task.
Must be able to pay close attention to detail and follow through.
Must be well organized.
Must be able to communicate effectively and tactfully with personnel, talent, producers, etc., and remain composed under pressure.
Must be able to set-up and maintain accurate, up-to-date files and records.
Must be able to handle confidential information.
Must be able to work under constant deadlines.
Must be willing to work as a team and be available to all in department.
Typing: 50 wpm.
Knowledge of Microsoft Word and Excel.
Knowledge of report and letter format.
Knowledge of personal computer/word processing system required.
