Job PurposeTo support the European Learning and OD team based in London in all aspects of training, learning and event administration and therefore playing a key role in the delivery of the LOD Strategy.Main Responsibilities
• TRAINING COURSE ADMINSTRATIONManaging all aspects of training courses admin. Including liasing with vendors, managing delegate lists, booking venues (external and internal as required), communicating joining instructions, sending pre-course work and post-course evaluations. Ensuring the Learning Centre is ready and set up for when facilitators arrive to run courses in Warner House.
• BUDGET MANAGEMENTUsing SAP to raise POs, pay invoices, chase payments as necessary, keep track of payments in our budget, set up new suppliers. Also manage P-card payments and reporting.
• TRAINING RECORDSEnsure that training records are kept up to date. As we embrace Workday's LMS (later in 2017), become a super-user in Workday and ensure that we are maximising it to manage records and reporting initially.
• TEAM SUPPORT AND ADMINISTRATIONComplete expense forms for the LOD team. Provide admin support as required, including some meeting set-up, some diary management, meeting visitors, occasional refreshment organisation etc.
• EVENT MANAGEMENTProvide support for larger meetings organised by LOD, including venue management, communication, planning, materials organisation etc.
• TEAM AND PROJECT WORKJoin LOD team meetings to contribute to thinking and idea generation. Work on small projects as required to support other members of LOD – and as per the individual's interests and capacity.
• APPRENTICESHIP TRAINING MANAGEMENTManage the training partners for our apprentices to keep track of expenditure and funding.Selection Criteria:
EXPERIENCE
• Experience in an administrative role.
• Proven ability to multi-task and organise a high volume workload.
• Ideally experienced in an HR or Learning and Development environment.
EDUCATION/QUALIFICATIONS
• Educated to 'A' level or equivalent.
PERSONAL SKILLS/ATTRIBUTES
• Highly organised, able to prioritise and manage own workload.
• Strong attention to detail, able to monitor and review own work.
• Excellent use of written English; ability to communicate via email professionally and effectively.
• Excellent interpersonal skills; the ability to build relationships and communicate at all levels, both internally and externally.
• Excellent PC skills (especially Excel and Word) and ability to present high standards of written documentation. Strong capability in Powerpoint would be desirable.
• Team player; able and willing to work collaboratively as part of a small team.
• Flexibility; able to respond quickly to changing needs and different team members' requests.
• Resilience; able to cope with a demanding workload on occasions and not phased by this and in fact enjoying the challenge of this.
• Initiative; able to look ahead and proactively identify next steps and actions without needing to be told what to do.
• Interested in learning and organisational development and able to contribute to thinking and idea generation to support the whole team.
