Company Receptionist & Office Manager - Job Description
330 Walter & Walter Pictures, two sister companies, are looking for a full-time receptionist & office manager to work alongside the companies' founder. Starting time: July 1st 2017.
330 Walter is a co-working space for filmmakers on west 42nd Street. The 12,000 sf floor is tailored for film, TV and theatre professionals to best facilitate their needs from prep through post production.
Walter Pictures is a production company striving to bring forth impactful visual creations through collaborations with directors, agencies, studios, brands and talent.
The receptionist & office manager is the face of the company; the first person to welcome guests and clients as they come into the space. This person will oversee the successful operations of the 26 suites of the co-working space, 330 Walter, make the tenants feel at home, as well as provide support to the founder of Walter Pictures with various daily tasks.
Tasks:
• Overseeing all office operations: preparing letters, presentations and reports, ensuring that health and safety policies are up to date, designing and implementing office policies and filling systems for both companies, manage subscriptions, purchasing office supplies, etc.
• Maintaining a smooth operation of day-to-day interactions with tenants and facilitate all their needs.
• Keeping a tidy & clean office space and lounge area.
• Communicating with the building's maintenance division to ensure a smooth working environment.
• Performing daily bookkeeping tasks and preparing payroll.
• Giving tours of the co-working space to potential new tenants as well as maintaining a list of existing tenants, and providing guidelines to the use of the spaces.
• Recruiting, selecting, orienting, and training interns.
• Social Media: Posting onto the socials of the two companies on a daily basis as well as uploading new projects onto the company website.
• Booking transport and accommodation for company executive.
Requirements:
• A welcoming and positive attitude.
• A ''yes let's make this happen'' type of persona.
• Organized and detail oriented, to a fault.
• Adobe creative suite knowledge is needed.
• Quickbooks knowledge is preferred.
• Excel knowledge is needed.
