Details: Position Purpose:
To provide the CEO and CFO with administrative and organizational support.

Core Responsibilities:
• Manage communications for the Executives, both internally and externally (i.e., phone calls, emails, meeting requests, administrative matters, etc.)
• Manage information for the Executives (i.e., scheduling, filing, administrative reporting, etc.)
• Handle assigned administrative tasks, as directed (i.e., writing letters, sending corporate gifts, making travel arrangements, etc.)
• Organize meetings and events that are led by the Executives (i.e., scheduling meetings with all participants, ordering refreshments if needed, securing and managing meeting rooms, etc.)

Outline of Specific Functions:

1. Communication Management

• Receive incoming phone calls and handle as directed and/or appropriate
• Address all meeting requests according to the procedure set forth by the Executives
• Respond to specific communications as directed by the Manager or Executives
• Receive incoming mail and process as directed and/or appropriate
• Protect sensitive information and maintain confidentiality at all times

2. Information Management

• Maintain the Executive’s schedule, as directed
• Maintain task lists for the Executives, as directed
• Prepare itineraries and other information relevant to Executive’s travel
• Maintain information pertaining to the Executive’s business expenses and prepare all expense reports according to Company policies
• File documents, as directed

3. Administrative Tasks

• Make or adjust appointments, as directed
• Make travel arrangements, as directed
• Make restaurant reservations or order lunch, as requested by the Executives
• Purchase and send corporate gifts, as directed
• Draft and/or prepare written correspondence, as directed
• Send packages via courier or messenger services, as directed
• Make and distribute copies of documents, correspondence, etc., as directed

4. Meeting & Event Management

• Schedule and prepare for meetings led by the Executives, as directed – includes coordinating schedules with participants, booking conference rooms or other locations, ordering food or refreshments (if needed), ensuring that required supplies are available and straightening or cleaning up internal conference rooms afterward
• Organize corporate events initiated by the Executives, as directed – includes securing locations and/or venues, negotiating costs, preparing materials, etc.

5. General & Other

• Anticipate the administrative and organizational needs of the Executives as much as possible and take the appropriate actions to address such needs in an effort to help the Executives be as effective as possible
• Work cooperatively with the Company’s other Executive Assistants to share responsibilities in a back-up capacity, during break periods and/or during absences
• Work cooperatively with the Company’s other Executive Assistants to plan, organize and implement corporate events
• Handle other tasks and responsibilities, as assigned by the Manager or Executives

Requirements:
• A minimum of two (2) years of experience in a similar position, wherein administrative and organizational support was provided to a high level executive (preferably in the entertainment field)
• Ability to handle administrative tasks quickly and with an extremely high degree of accuracy
• Excellent general computer and internet skills; specific proficiency with Microsoft Outlook, Word, Excel and knowledge of Powerpoint
• Strong oral and written communication skills
• Problem-solving abilities for office situations
• Excellent organizational skills
• The ability to simultaneously handle multiple tasks and provide support to more than one executive
• Ability to work well within a team
• A professional, pleasant and friendly demeanor
• Must demonstrate good judgment
• Ability to handle confidential and sensitive information and documents
• General agreement and acceptance of the Company’s core values (see attached)
