Viacom is seeking a full-time Human Resource Assistant to support the Global Entertainment Group include Production, Product Development, Research and Audience Science as well as MTV, Comedy Central and Paramount Network. S/he will ensure that day-to-day department operations run effectively and efficiently.
Responsibilities
The primary responsibilities of the Human Resource Assistant are to support the SVP, Human Resources and to provide departmental support. S/he will be an integral part of the HR team and play an essential role within the department. The role will own critical processes spanning across all of GEG, for example, managing and tracking all HC which requires collaborating with the Talent Acquisitions teams, Finance and the GEG HR team.
The HR Assistant is the first point of contact for new hires and existing employees. S/he is responsible for all HR transactions relating to the GEG COO groups as well as some of the transactions for MTV, Comedy Central and Paramount Networks. Specific responsibilities include the following:
• Provide telephone coverage for Senior Vice President and support to the GEG Human Resources team as needed.
• Provide administrative support to department on various HR projects and initiatives including but not limited to headcount management.
• Prepare PowerPoint, Excel and Visio documents as needed.
• Maintain accurate and updated company organization charts in Visio software.
• Heavy interface with Viacom Media Networks HR and client populations at all levels.
• Set up meetings, including all meeting logistics and handle travel arrangements if needed.
• Perform various PeopleSoft (Oracle) Human Resource Employment Transactions: i.e. Hires, Promotions, Terminations
• Maintain all employee files – promotions and salary adjustments, status change, performance appraisals, new hire forms, etc.
• Handle confidential and time sensitive documents on a regular basis.
• T&E preparation and process invoices.
Basic Qualifications
• Bachelor’s degree
• Prior HR experience and/or interest in pursuing a career in Human Resources is desired
• Proficient in Microsoft Office (PowerPoint, Excel, Word)
Additional Qualifications
• Experience in HR systems (PeopleSoft) is a plus
• Ability to perform multiple tasks simultaneously in a fast-paced environment
• Strong organizational skills and attention to detail
• Strong sense of urgency coupled with superior follow up and follow through
• Ability to handle highly sensitive information and maintain confidentiality
• Strong customer orientation and excellent phone demeanor
• Strong team player, relationship builder and collaborator
• Excellent verbal and written communications skills
• Resourceful problem solver with the ability to anticipate issues and alternatives
• Knowledge of Visio is a plus.
