To provide administrative support to multiple attorney-executives in the Intellectual Property / Litigation - Business and Legal Affairs Department at Viacom Media Networks
• Under the direction of the Vice President, Intellectual Property / Litigation, route all legal documents served through Viacom’s agent for service of process to ensure every item is handled and acknowledged, and record same in a spreadsheet
• Create log of all legal documents served on Viacom, who is handling each, and circulate same weekly
• Gather materials from various groups in the Law Department and compile the materials into quarterly litigation packets distributed to the General Counsel, Deputy General Counsel and senior Law Department executives
• Prepare quarterly metrics report using Excel to create presentation materials distributed to the General Counsel, Deputy General Counsel and senior Viacom executives
• Prepare and submit requests for settlement payments, interacting with the Viacom Finance department and business units to ensure same are processed timely and correctly, and create and maintain log of same
• Maintain, print and distribute litigation charts and databases
• Fax, PDF and photocopy documents, ensure correspondence is sent by the appropriate delivery method, and track confirmation of delivery information on an Excel log
• Assist attorneys with their letters and correspondence (drafting, blacklining, etc.) including maintaining executives’ chrons
• Schedule and coordinate internal and external meetings, lunches, conference calls and other business appointments
• Field incoming phone calls for executives
• Execute travel arrangements & process travel and expense reports
• Maintain calendars and schedules, book conference rooms
• Maintain and update contact information
• Create and maintain well organized filing systems
Basic Qualifications
• 2 years in a legal or administrative assistant capacity
• High proficiency with MS Office including Outlook and Word and Adobe Acrobat
• Excellent proficiency with MS Excel
• High degree of attention to detail
• Excellent communication skills
