Verve Talent and Literary Agency is currently seeking an Assistant to two busy executives in Human Resources and Office Operations. The ideal candidate will be accustomed to supporting two executives, and will possess the ability to manage multiple tasks simultaneously in a fast-paced environment. Given the high volume of communication across Verve and externally, outstanding organizational and communication skills are essential. In addition, the Assistant will be responsible for managing daily assignments for Floaters and Interns. A high level of professionalism and confidentiality is required in this role. Ideal candidate will have an interest in pursuing a career in HR/Operations Management.
Responsibilities:
• Provides administrative support to two executives, including calendar management, meeting planning, setting up of conference rooms, handling audio visual equipment
• Orchestrates catering for company lunches and events
• Coordinates Floater and Intern assignments
• Monitors and orders office supplies
• Maintains company kitchen and orders food and kitchen supplies as needed
• Assists with new hire orientation and new hire training
• Maintains office equipment and works with building management to resolve discrepancies
Qualifications:
• BA degree preferred
• Previous Operations and/or HR experience a plus
• Professional presence, good judgment, ability to anticipate needs is essential
• Strong written and verbal communication skills, proactive follow-up skills
• Proficiency with Outlook, Word, Excel, PowerPoint
• Must be highly organized, detailed oriented, personable and a problem-solver
