JOB DESCRIPTION:
Universal Music is currently seeking a Manager, A&R Administration in our New York Office Location:
Duties include knowledge of the financial systems, processing and paying invoices, A&R travel requests, preparing and processing union enrollment and contracts. Must have a strong knowledge of Microsoft Excel and Word and can work well with high volume work and deadlines. Must be organized, have excellent follow through, and able to multi task.
Responsibilities:
Financial Systems (On Job Training)
• Uniport
• SAP
• eTA
• ExpenSys
Accounting
• Oversee administration of recording budgets
• Collaborate with A&R to ensure budget stays on track
• Making sure that the vendor is set-up, if not, obtaining the proper payment forms from vendor and completing a new vendor form to be signed by head of admin and finance
• Scanning and/or mailing invoices to accounts payable for processing payment
• Following up with accounts payable for wire confirmation numbers and deposits
• Contacting the vendor if accounts payable needs additional information to process and pay
• Running reports from Uniport and SAP
• Obtain producer declarations
• Work with Business Affairs to ensure all necessary agreements are complete to allow release
• Deal with outside attorneys to ensure deals are getting signed
• Assist Business Affairs with side artist and sample clearances
• Maintain clearance charts (producer payments, side artists, samples, etc)
Travel
• Coordinate with the travel department to book travel for artists, producers, & engineers
• Raise commitments in Uniport
• Prepare travel authorization in eTA
• Book studios
Union
• Prepare and process AFTRA and AFM contracts
General Administration
• Answer inquiries from vendors regarding payments
• Maintain various reports and spreadsheets
