Provide administrative, creative and production support to the SVP Sales and all sales directors to ensure timely and effective completion of major sales functions and processes including sales tools, exhibits, events and conferences, retail marketing and advertising, SoundScan and status reporting to CMG Distribution leadership.
Essential Job Functions
• Assist CBA MAG and General Market Sales Directors with various kinds of administrative support (expense reports, travel coordination, communications management, etc.)
• Ensure the accessibility and timely distribution of advertising tools (e.g., cover art, ad copy, etc.) to pertinent accounts and UMGD.
• Enter data into CMG co-op tracking system and provide updates to Labels for all team advertising placements, ensuring that information is regularly updated to guarantee timeliness and accuracy.
• Maintain and update advertising in the CMG co-op tracking system and process approval notices for UMGD advertising through Fastrac system, collaborating with Finance and Labels to ensure that budgets are balanced on a monthly basis.
• Collaborate with Telesales & Services to coordinate all co-op/OSI processing for accounts.
• Assist in the deal process by preparing deal sheets for deal meeting, tracking approvals, creating deal codes, and setting up deal content in TinyTerm.
• Create and assemble presentation tools (e.g., one-sheets, Power Point presentations, recorded media, etc.) for key planning and sales meetings.
• Coordinate weekly Sales Tracking update with Reps for SVP/Finance.
• Pull various departmental reports including SoundScan, OSR, and others as needed.
• Maintain and update CMG new release and Catalog group grids and send weekly update to internal and external contacts.
• Handle distribution of pre-release music to internal and external contacts via PlayMPE.
• Provide logistical, technical, and hospitality support for major sales events and conventions, day-to-day meetings with staff and customers.
• File archive copies of Catalog Group titles in the label group archives.
• Manage monthly contest/rules, product changes and updates for Catalog Group releases.
• Other duties and responsibilities as assigned.
JOB REQUIREMENTS:
Desired Skills and Experience
Proficient in:
• Working knowledge of key software programs including MS Office suite, ISR, TinyTerm, digital music, image creation/manipulation, remote PC communications, and role specific software.
• Must be solution oriented, proactive and problem-resolution oriented.
• Demonstrate good judgment in decision-making situations when all facts are not known.
• Effective written and verbal communication skills.
• Effective time-management and organizational skills.
Education & Experience:
• High School Diploma.
• 2 years office/professional and/or related work experience.
• Prior relevant experience in either the Christian music or entertainment world a plus.
