We are currently seeking a Records Coordinator responsible for assisting our in-house staff in conducting research using our company archives. The ideal candidate should be detail oriented, able to work in a complex corporate environment, and skillful at assisting UMG personnel in a tactful manner. This position must work with the full range of our company business units, including finance, accounting, legal, human resources, publishing, royalties, record labels, and executives.
Job Functions:
• Support UMG users in researching off-site storage database
• Train UMG users in database search techniques
• Serve as liaison between UMG users and storage vendors
• Handle inquiries from internal and external users
• Prepare project scope reports and cost estimates for special cataloguing projects
• Manage special projects independently, both on-site and off-site
• Communicate status of research and projects to internal and external users at all levels
• Handle sensitive information and maintain confidentiality of all records
• Monitor UMG records management program in the absence of department manager
Job Requirements:
Skills/Abilities:
• Self-motivated, detail oriented and extremely well organized
• Excellent verbal and written communication skills
• Ability to work independently
• Ability to address issues in a timely fashion, multi-task, prioritize and juggle competing priorities
• Ability to interact professionally with all levels of personnel, including label executives
• Must understand the importance of data protection
• Understanding of records management principles and procedures
Experience:
• At least two years of experience working in a large corporate environment
• Records management, file room experience
• Excellent written and oral communication skills
• Experience using Microsoft Word, Excel, Outlook, and internet
• Experience using a records storage database. Our records software is Versatile.
Education:
• College graduate preferred
