Universal Producion Music is looking for a Receptionist. The Receptionist position provides a continual presence at the front desk, ensuring the timely and professional handling and correct distribution of all incoming phone calls, greeting and assisting all visitors in a friendly and professional manner; and ensuring the correct distribution of all
outgoing mail, packages, supplies and company communications. The receptionist will also assist daily operations by successfully accomplishing the following responsibilities:
Job Functions:
• Process leads from websites and incoming calls, after verifying that the lead is not a pre-existing client in CRM or any other applicable databases
• Greet visitors with a professional and welcoming attitude
• Compose a daily company email updating the day's internal news and staffing levels.
• Oversee the kitchen area: ensure that coffee, untensils, and other general supplies are well stocked; and notify the mail clerk if a restock of specified items is needed
• Coordinate with the UMPG Admin team on necessary office supply orders
• Oversee the scheduling of the conference room and keep lobby and conference room clean and ready for scheduled or impromptu meetings
• Responsible for coding administrative invoices in Uniport that are under $2,500.00
• Responsible for coding expense reports for UPPM VP of Operations and KT VP of Sales
• Log the return of incoming Hard Drives for the HD Fulfilment and Sales Departments
• Perform administrative assignments for other departments as determined by either the UPPM VP of
Operations or the UPPM Operations Manager
• Help coordinate monthly group birthdays and holiday parties
• Prepares and distributes monthly phone list
• Ensures enough parking validations are available and keeps a log of the validations given out
• Prepares monthly reception coverage schedule
• Responsible for reporting to building management or the UMPG Director of Administration items that need fixing: printer malfunctions, light bulbs changed, interior electrical work, drinking water deliveries, restroom problems and any elevator/air/heating problems
• Responsible for serving as office safety warden. Attending annual safety meetings and communicating evacuation procedures to the office
• Maintains an accurate emergency contact list
Job Requirements:
Skills/Abilities:
• Must possess excellent computer skills, especially Microsoft Office. Knowledge of CRM applications is a plus.
• Outstanding verbal and written communication skills as well as strong people skills.
• An ability to multi-task, while demonstrating an extreme attention to detail is a must. Experience:
• A minimum of one year in a reception/customer service atmosphere
Education:
• The typical incumbent has a minimum of an Associates Degree and at least one year experience working in a reception/customer service atmosphere.
