Job Summary:
Universal Music Group is currently looking for an Administrative Assistant to support the Publicity Department, with additional support to the International Department as well at Verve Label Group. The ideal candidate will have experience working in publicity within the music/entertainment field supporting at the VP level or higher, and have great judgment with discretion and confidentiality.
This exciting role requires superior attention to detail, great organizational skills, the ability to meet tight deadlines, and to juggle multiple critical requests. A high level of integrity and discretion in handling confidential information, and professionalism in dealing with senior professionals inside and outside the company is important. Must be very efficient and highly attuned to the smallest of details, as well as being able to multi-task and working on tight deadlines in a high pressure environment is crucial. No task is too small and no challenge too great. A ''can-do'' attitude is essential.
Job Functions:
• Assist VP & Manager of Publicity with daily duties including compiling press kit materials, facilitating press mailings,
overseeing distribution of monthly releases to press, creating promo schedules
• Coordinate the logistics of Meetings, Conference Calls and Video Conferences
• Greet meeting participants
• Helping facilitate concert ticket buys for the staff and their business needs, which includes compiling guest lists and interfacing with venues/box offices
• Download press materials from rep centers B2B sites and organize for U.S. office including photos, bios and more
• Upload materials to our B2B site including bios, press releases and photos
• Coordinate press mailings – both physical and digital, and sending music and tools to journalists as required on a daily basis
• Maintain up-to-date clip files/books electronically and service to the staff and artist managers
• Maintain press database - updating contact information and mailing lists for various genres
• Assist outside PR reps by delivering press tools, coordinating mailings, who we engage to work campaigns on our behalf
• Manage and execute various travel arrangements and process travel & entertainment expenses with accurate coding, resolve payment issues
• Process publicity invoices and help maintain PR budgets in Uniport
• Book artist travel as it relates to press trips including flights, hotels and cars
• Ability to attend concerts on weekday evenings after work and occasionally on weekends when needed
• Manage and execute various travel arrangements and process travel & entertainment expenses with accurate coding, resolve payment issues
• Assisting head of international with general communications to the territories by email and phone
• Helping to maintain production and release schedule for international products, and assisting in the review and modification of local marketing plans on a project by project basis
• Coordinate special project requests as needed

Experience:
• Excellent oral and written communication skills required
• Must also demonstrate initiative, resourcefulness, and an ability to manage multiple assignments under tight deadlines
Education:
• Degree qualified or equivalent experience
