Description
REPORTING TO: Vice President, Human Resources
The Offices Services Manager position is a challenging and varied role, which oversees the day to day office services and facilities management of our locations as well as supervising the office services staff. The ideal candidate is professional, organized, and able to multi-task in an ever-changing work environment with enthusiasm while providing solutions for greater efficiency.
RESPONSIBILITIES:
• Act as first point of contact for office, general maintenance and repairs enquiries.
• Manage the mail room and ensure all courier accounts and postage are being managed effectively.
• Oversee the maintenance of common areas and supply room to ensure cleanliness and safety (i.e. hallways, board rooms and kitchenettes).
• Facilitate all building service issues and liaise with building management and skilled trades for repairs (i.e. HVAC, lighting and washroom issues).
• Set up and tear down of onsite events and functions.
• Identify, recommend and implement cost saving opportunities where possible to improve operation efficiency and service.
• Support various business process improvement initiatives, while collaborating with departments and staff within Universal Music Canada.
• Coordinate and manage employee and office movement requirements with other departments (i.e. new hires, furniture moves and departures).
• Set up, test and ensure offices, work stations and board rooms systems are functional (i.e. telephone, audio and visual setup).
• Acquire quotes and negotiate with suppliers for courier services, facilities and office supplies.
• Order and stock supplies for the office and kitchenettes (i.e. coffee/tea, stationary, paper, etc).
• Process invoices in purchasing system (Uniport).
• Set up user accounts for office supplies and branch courier services.
• Other duties as required.
REQUIRED SKILLS:
• A minimum 5 years of experience in people management, facilities management and office services.
• Demonstrated capabilities re: innovation, accountability, judgment, decision-making, problem-solving and reasoning.
• Excellent organizational and follow-up skills, with the ability to prioritize, take on multiple tasks, meet deadlines and to work in a fast-paced environment.
• Excellent communication (verbal and written) and interpersonal skills.
• Excellent customer service skills with internal staff and external vendors.
• Solid problem solving skills to coordinate and lead initiatives.
• Knowledge of shipping methods and courier services.
• Ability to lift and move heavy objects (up to 50 lbs) as necessary.
• Discreet while dealing with sensitive and confidential information.
• A passion for improving work processes for the team and for the company.
• Proficient in Microsoft Office Suite (Word, Excel, Outlook).
