Job Summary
Universal Music Group International is looking for a Manufacturing Parts Order Assistant to join their Asset Management team.
The successful candidate will need to have a very good attention to detail, be comfortable working in a very fast paced environment, and have excellent IT skills e.g. Excel. Previous experience in Supply Chain/order fulfilment and knowledge of music and video physical product formats, including graphic packaging elements is also required.
main purpose of role
This position is for manufacturing parts orders service, as part of a team managing the music related assets of the company.
• Will be responsible to promptly and accurately supply all requested manufacturing parts for all received orders, supporting all International territories (e.g. all territories outside the USA).
• Working with and supporting Manufacturing Parts Order Lead, ensuring that all orders are completely fulfilled, chasing any missing or incomplete elements (audio, graphics, video, label copy) as required.
• Liaising with other departments as required (Physical Production, Supply Chain, Physical Archives, label copy teams, etc.), plus 3rd parties – music studios, printers, etc.
• Support large projects, such as the Manufacturing Business Continuity Plan, Manufacture on Demand, etc. Involves supplying large bulk order shipments.
• Support as required ongoing asset management requests, including sourcing digital tracks (via ASPEN), physical archive queries, etc.
• Other ad-hoc duties as requested by line manager.
• Process orders includes following steps:
o Request initiated: created on the UMGI Central Production Release Schedule (CPRS) system, or email to Parts Orders team.
o Initiate order: Parts Orders management team raise internal request, for all elements to be assembled, verified, digitally available.
o Source:
- Audio/video, from digital or physical archives.
- Graphic files, from locally hosted graphic servers.
- Label Copy, approved finalised label copy (from UMG R2 system).
o Resolution as required:
- Missing elements (label copy, audio, video or graphics).
- Incomplete (e.g. no native graphic files, no audio, etc.)
- Not fully verified (label copy at F or Q), miss-match of label copy.
o Delivery: parts sent out to requested destination:
- Digitally (Wam!Net).
- Physical ship (for DVD or Blu-ray).
o Track/Update: update the CPRS system (Parts module).
o Notification: send email confirmation to requestors and other stakeholders as required.

Essential:
• Ability to work in very fast paced work environment (200-600 orders per month, over 2000 elements sent monthly), while maintaining good cordial relations with a large number of internal and external clients.
• Ability to manage own workload and work to deadlines.
• Excellent IT skills – particularly with Excel, also Word, Outlook, typing speed of 55 wpm +.
• Previous experience in an order fulfilment role; and/or supply chain area.
• Good attention to detail, accuracy.
• Ability to work within a close team environment, flexible to cover other duties as required.
Desirable:
• Good knowledge of required Universal systems, including R2, CPRS, Wam!Net, ASPEN, or equivalent of other companies.
• Work with on-line resources, such as Google Docs.
• Knowledge of music and video physical product formats, including graphic packaging elements (booklet, inlay, O-card, etc.)
