Description
The Executive Assistant reporting to the President/CEO manages the day to day Executive Office and ensures the seamless execution of all administrative tasks. The role also serves as the primary point of contact for internal and external partners on all matters pertaining to the President/CEO. The ideal candidate is diplomatic, professional, personable, detail-oriented, organized, sharp, quick on their feet and able to juggle multiple tasks in an ever-changing work environment, all with enthusiasm and discretion.
RESPONSIBILITIES:
• Organizing and coordinating the day-to-day schedule of the President/CEO including the coordination of external and internal meetings, travel arrangements and accommodations, answering calls, taking messages, preparing outgoing correspondences, presentations and agendas.
• Providing all-encompassing administrative support including but not limited to filing, opening/sending out mail, processing invoices and expenses, reconciling corporate credit card bill and taxi chits, preparing bi-weekly attendance sheets, track vacation schedules, ordering office supplies and other products for various requests, maintaining magazine subscriptions and renewals, compiling daily reports, keeping track of follow-up items and maintaining files.
• Ordering catered meals for internal/external meetings and other related arrangements.
• Compiling information from various departments for weekly newsletter to be entered and distributed through MailChimp.
• Providing support to the Chief of Staff.
• Providing support on a variety of ad-hoc projects and initiatives.
REQUIRED SKILLS:
• Minimum 5 years administrative experience supporting an executive member, preferably in the entertainment/creative industries.
• Friendly and enthusiastic personality with a professional demeanor in dealing with people.
• Excellent organizational and follow-up skills, with the ability to prioritize, take on multiple tasks, meet deadlines and to work in an ever-changing work environment.
• Discreet while dealing with highly sensitive and confidential information.
• Strong sense of responsibility and attention to detail.
• Excellent written and verbal communication skills.
• Reliable and dependable with a strong work ethic.
• A passion for improving work processes for the team and for the company.
• Proficient in Microsoft Office Suite (Word, Excel, Outlook) and Internet navigation skills (MAC preferred).
• Passionate about music, the arts and culture.
