Description
Universal Music Group is currently looking for an Assistant to support the Creative Director and the Production dept. The ideal candidate will have experience working in a musical environment supporting senior staff, be detail-oriented, and have interest in learning and growing within the company.
This exciting role requires superior attention to detail, great organizational skills, the ability to meet tight deadlines, and to juggle multiple critical requests. A high level of integrity and discretion in handling confidential information, and professionalism in dealing with senior professionals inside and outside the company is important. Must be very efficient and highly attuned to the smallest of details, as well as being able to multi-task and working on tight deadlines in a high pressure environment is crucial. No task is too small and no challenge too great. A “can-do” attitude is essential.
Job Functions:
• Assist the Creative Director & Production department
• Help arrange photo/video shoot production, liaise w team, check availability etc…
• Coordinate cover uploads to B2B and Aspen (when applicable) for all releases with US content specialist rep. and Int’l rep owners, when necessary
• Assist with printing, routing and proofing of packaging artwork files
• Assist with project budgets and reaching out to printer for pricing and white samples, when applicable.
• Responsible for clearing domestic and international video assets within the UMG systems
• Liaise with the proper UMG departments in regards to the video clearance process including scheduling in DIGS and submitting local rows
• Create and maintain video production/clearance planner
• Answering phones, scheduling meetings and events; identifying key issues and prioritizing the schedule accordingly
• Coordinate the logistics of Meetings, Conference Calls and Video Conferences
• Manage and execute various travel arrangements
• Process travel & entertainment expenses with accurate coding, resolve payment issues
• Coordinate special project requests as needed
• Manage Uniport – new supplier set up, create po’s, code and process invoices
• Responsible for tracking and submitting local rows for all Physical and Digital (audio) products
• Liaise with U.S. metadata specialists & Int’l metadata personnel to address U.S. queries/concerns
• Provide Sales Dept with Label Copy of Physical products
• Fill, route and scan New Release Approval Sheets
• Expiration of IG/Singles in system and inform other territories and Digital Supply Chain
• Occasionally assist with “Opting In” of audio digital products in DIGS
Job Requirements:
Skills/Abilities:
• Ability to interact comfortably and effectively with employees of our company at all levels

• Interest in music and a general understanding of the music business and the roles of various departments of a record label
• Self-motivated, proactive, and resourceful

• Flexible – able to adjust to changing priorities, and able to multi-task under pressure
• Excellent organization and time management skills
• Strong proficiency and working knowledge of Mac and PC experience (proficiency in MS Word & Excel, PowerPoint, familiar with Adobe Creative Suite)
• Internet savvy
• Ability to handle confidential information
• Highly motivated with networking ability
• Able to work in a very fast and energetic environment
Experience:
• Must demonstrate initiative, resourcefulness, and an ability to manage multiple assignments under tight deadlines
Education:
• Degree qualified or equivalent experience
