Job Summary:
We are currently seeking an eager and exceptional Administrative Assistant in our Santa Monica office. The person in this position will provide a wide spectrum of administrative support to corporate/transactional attorneys in the Business and Legal Affairs Department. The ideal candidate will be a responsible, flexible and resourceful self-starter who takes initiative and ownership of tasks and projects. An interest in music and entertainment and a willingness to learn are paramount.
Job Functions:
• Support in short and long term projects, ranging from word processing assistance to research and other substantive tasks
• Manage calendars, answer phones, handle expense reports and providing organizational assistance
• Liaise with IT, office services and other internal personnel to resolve day-to-day issues and handle administrative matters
• Draft standard form agreements and other legal documents
• Review and summarize contracts; track contract terms and options
• Collect and analyze information
• Type and revise agreements, charts, memoranda, correspondence and other documents
• Maintain an organized and up-to-date filing system
• Create physical and electronic files; search and retrieve files on an ongoing basis
• Draft and send letters and other routine correspondence
• Other duties as assigned by supervisors
Job Requirements:
Skills/Abilities:
• Excellent verbal and written communication skills; extremely detail-oriented
• Exhibits professional demeanor and exercises sound judgment
• Ability to see assignments through completion; meets deadlines
• Ability to multi-task and prioritize; works well under pressure
• Ability to work autonomously and collaboratively
• Excellent typing and computer skills; proficient in Microsoft Office Suite (Word, Excel, Outlook, and Powerpoint); competency in MAC and iOS is a plus
Experience:
• Illustrative examples of interest in music, media/entertainment and/or technology are required
• Prior experience in an office setting is a plus, particularly in a business and legal affairs or contracts group
Education:
• BA or BS degree from an accredited college or university
