Job Summary:
The Universal Music Publishing Film & TV licensing team is looking for a detail oriented, efficient individual for administrative assistant position to work within our fast paced synchronization clearance department. The right candidate will be organized, excellent at basic administrative tasks and able to multi task at a high level. Great communication skills are crucial, as well as the ability to work mindfully within a team driven atmosphere. A strong passion for music is a must!
Job Functions:
• Assists VP, Head of Film & TV Music Licensing including answering phones, managing department calendar, scheduling meetings, ordering department supplies and facilitating dissemination of paperwork from clearance to licensing teams
• Coordinates all licensing matters including execution of licenses; email/mailing fully executed agreements to customers; updating internal proprietary database with license information; and filing, closing and archiving project files
• Manages external email requests received via internal proprietary website
• Oversees data entry team and daily output
• Proactively assists, manages and completes projects under VP's direction as needed
Job Requirements:
Skills/Abilities:
• Ability to work independently and as part of a team in a fast paced environment. Must be able to work under time constraints.
• Excellent verbal and written communication skills
• Ability to multi-task, juggle competing priorities and meet deadlines.
• Ability to keep information confidential.
• Must be proactive, self-directed and extremely well organized.
• Computer experience: Internet, Microsoft Word, Excel, Power Point, AS400 and Outlook.
Experience:
• 2 – 4 years of experience in an administrative, office or corporate environment
Education:
• BS/BA preferred
