Universal Strategic Marketing (USM) is responsible for the companies' Global catalogue, compilations, audio-visual and Licensing businesses for all our labels excluding Classical, whom we also work closely with. A dynamic, forward thinking team we ensure territories achieve optimum revenue opportunities and deliver support to markets on a Global level. At USM you are expected to be an innovator in your field, flexible in complementing and inputting into areas across the division and the wider business.
Job Functions:
• Provide general administrative support for Global SVP USM
• Management, conflict management, booking meetings, travel, accommodation, transport, expenses, arranging conference and video calls etc
• Act as gatekeeper for phone, visitors, e-mail filtering to reply to correspondence on behalf of SVP
• Assisting SVP with presentations such as PowerPoint, Keynote creation and documenting reports utilising Excel & Word.
• Facilitate senior management and client relationships on behalf of SVP
• Assist wider management team within USM in booking travel and accommodation.
• Serve as liaison between the executive and artists, managers and internal staff. Keep executive organized and abreast
of urgent issues.
• Maintaining newsletters, release schedules on a daily basis with interns.
• Be prepared to get involved in release projects across the wider team.
• Taking notes and key action points in meetings as required and distribute subsequently.
• Ensure all materials for meetings are prepared in a timely manner
• Responsible for general welfare of wider department and office management
• Responsible for assisting the set up and welcoming of new starters
• Responsible for general department communication with the assistance of the wider team
• Organisation of international and local conferences / summit meeting with overseas markets
• Create comprehensive travel packs for SVP.
• Social event management across the department
• Organising and assisting in office moves, redesigns etc
• Looking after the Invoice System on a weekly basis
Job Requirements:
Skills/Abilities:
To succeed in this role you will need to have excellent organisational and administrative skills, be a bright and switched on person who is able to work in a pressurised environment. You must possess the ability to prioritise to tight deadlines, with a strong sense of discretion. Coupled with excellent communication skills, telephone manner, presentation skills and be a diligent, responsible individual who pays attention to detail. You will need to be highly computer literate, including Microsoft Word, excel, PowerPoint and internet skills, and be willing to sometimes work long hours as necessary to cope with the demands of a fast paced international oriented business.

Experience:
• Minimum 3 years of experience supporting at the VP-level or above.
