We are currently seeking an eager and exceptional Administrative Assistant to support the SVP Head of Commercial Transactions as well as
other members of the department. The Administrative Assistant will be responsible for providing administrative support and legal assistance to the SVP Head Commercial Transactions.
Job Functions:
• Word processing, emailing, faxing and photocopying
• Answer phones, make calls, and direct phone inquiries as appropriate
• Draft and send out legal correspondence
• File documents and develop file systems
• Revise, redline and proofread legal documents
• Perform database inquiries
• Schedule conference calls and meetings
• Prepare Excel spreadsheets
• Complete travel and expense reports
• Maintain contacts and calendar information on shared drive
• Make travel arrangements and restaurant reservations
• Assist with payment requests
• Other duties as assigned by supervisors
Job Requirements:
Skills/Abilities:
The Administrative Assistant must have the following skills/abilities:
• Professional phone manner
• Strong written and verbal communication skills
• Ability to maintain confidentiality with respect to highly confidential information and materials
• Ability to exercise discretion and ethical judgment
• Attention to detail
• Ability to maintain organized systems and workspace
Experience:
• 2-3 years of Administrative Assistant experience in legal setting
• Advanced computer experience: Microsoft Word (including tables and redlining), Excel, Internet
Education:
• College degree preferred
