Full Time Job
A. Job Summary: This position is responsible for assisting with budget management in Universal Music Group's finance system (Uniport) and processing marketing department-related invoices. The position also assists with other departmental support, including booking travel, routing vendor contracts, and assisting VP of Marketing with phones, calendar and expenses. Some administrative support of publicity and radio staff.
B. Job Functions:
• Manage and maintain all Uniport procedures. Proactively assist with management of budgets and insure marketing department funds are current and balanced at all times.
• Create and maintain new financial commitments in Uniport, responsible for coding costs to appropriate categories and departments within marketing
• Manage overall quarterly budgets and coordinate with each department to allocate costs
• Manage existing and new vendor processes
• Manage accounts payable procedures; ensuring all marketing invoices are paid
• Responsible for getting specific departmental approvals for certain costs
• Assist with Radio Contest Winner Flyaways by booking flights, hotels and managing the costs of the trip
• Coordinate NYAG compliance paperwork for radio promotion costs
• Assist the Publicity department with Indie Publicist contracts, PO's and booking artist travel for appearances
• Manage all UMe ticket buys
• Assist VP of Marketing with phones, calendaring and expenses
• Assist with other department and company projects as needed.
C. Job Requirements:
Skills/Abilities:
• Ability to communicate with various roles within company and at various levels
• Ability to work independently and as part of a team in a fast paced environment. Must be able to work under time constraints.
• Excellent verbal and written communication skills
• Strong analytical approach to problem solving
• Ability to multi-task and juggle competing priorities.
• Ability to keep information confidential.
• Must be self-directed and extremely well organized.
• Computer experience: Internet, Microsoft Word, Excel, Power Point and Outlook. Experience:
• 1 - 3 years of experience in office administrative capacity (the music marketing industry preferred)
Education:
• BS/BA (Business Administration or Marketing preferred)
