Main Purpose of Role
Polydor are looking for an enthusiastic and committed A&R Assistant to provide PA and administrative support to the A&R Department – A&R Managers and A&R Co-Ordinators.
MAIN DUTIES
• Working closely with the A&R managers and A&R Co-Ordinators on current projects.
• Assist with booking of recording sessions in UK and internationally, finding appropriate studios, negotiating a good rate and booking.
• Daily liaison with artist managers.
• Arranging and facilitating meetings as requested.
• Booking all travel and accommodation for A&R Managers.
• Booking travel and accommodation and general logistics for Artists attending recording sessions in UK and abroad.
• Taking delivery and organising audio received from production teams and studios – managing digital transfers, ordering and distributing parts for remixes, ensuring back up on safety drives and check sheet updates etc.
• Send out tracks securely/watermarked for stream only or download as requested via the Universal system – Studio CDN.
• Register all audio titles / audio with anti-piracy team.
• Input of release label copy / credits: including collating label copy credits, accurately inputting details on R2 (Universal’s label copy system), gaining relevant approval (e.g. A&R Co-ordinator, A&R Manager, Artist manager and Producers) prior to finalising and delivery deadline.
• Booking mastering sessions for upcoming releases with guidance from the A&R Co-ordinators – ensuring production delivery deadlines are met.
• Ordering parts for Production delivery and manufacture from the mastering houses. Obtaining approvals for all audio prior to delivery deadline.
• Issue remix agreements and provide parts to remixers for remix commissions, ensure receipt of signed agreements and all remix budgets updated accordingly ready for payments. Co-ordinate mastering and delivery of remixes to deadlines.
• Assisting A&R Co-ordinators with payments for Mastering, Remixes, Travel and other as needed. Processing payments promptly and efficiently via Uniport system – the Universal online payment system.
• Assisting Suppliers with Uniport enquiries and set up on the system.
• Attend weekly scheduling meeting and occasionally, label or planning meetings and communicating any deadlines to A&R Managers.
• General office admin including couriers, stationery orders, booking cars, keeping office in good order etc. and other reasonable requests.
Person Specification
Essential
• Experience in similar role – Assistant / PA to team.
• Experience working at a record label and knowledgeable about all departments functions.
• Ability to organise and prioritise a busy workload and respond quickly in fast moving environment.
• Professional and personable telephone manner.
• Experience of work where attention to detail and accuracy are essential.
• Flexible and helpful approach to all new tasks.
• Previous experience of dealing with all levels of staff including senior members of an organisation.
• PC literate: Outlook E-mail, Word, Excel, iTunes as a minimum.
• Experience of working under pressure.
• Committed, enthusiastic, looking to help and willing to use initiative.
Desirable
• Experience of working with an A&R team or within A&R administration.
• Experience of working at a Universal record label in some capacity.
• Experience of the R2 label copy system and Uniport accounting system – both important Universal systems used daily.
