The Agency Assistant is responsible for supporting a senior executive in the rapidly expanding Business Development group for one of the world's largest literary and talent agencies. Such assistant is expected to efficiently and effectively carrying out the operational and administrative tasks associated with this office, and assist with the department's new business outreach and day-to-day client management, while always maintaining the highest level of personal and professional standards and conduct. The executive seeking support oversees the agency's new business initiatives, ranging from identifying, signing, and servicing corporate and brand clients, as well as identifying new opportunities for the agency's traditional clients domestically and internationally. In this dynamic, fast-moving role, the candidate will need to apply strong self-organization and management skills and demonstrate pro-active initiation and follow through on a broad range of actions.
JOB DUTIES:
• Phone management (e.g., roll phone calls, transfer, conference, lead a conference call)
• Calendar management, scheduling meetings, etc.
• Expense reports
• Travel arrangements
• Filing and file systems development
• Conducting research and analysis in support of projects
• Preparing presentations (PowerPoint), spreadsheets (Excel), & documents (Word)
• Drafting correspondences
• Liaising with internal staff at all levels and external clients, partners and board members.
SKILLS & QUALITIES:
• Professional with excellent judgment
• Strong ability to liaise with key senior-level executives
• Ability to work under pressure and in a fast- paced environment
• Can-do, positive attitude
• General business knowledge and interest in media and entertainment business
• Strong proficiency in Excel, PowerPoint, Outlook, Word, & Internet research
• Capable of managing several projects simultaneously with minimal supervision
• At least 1 - 2 years prior executive administrative assistant experience
• Associate's/Bachelor's degree preferred
