Duties: Manage the Centralized File Room
- Within the Records Retention area (centralized file room), assimilate and file personnel documents for all of Turner's domestic, Latin America and GPS employees.
- Create new personnel files for new hire.
- Monitor and update case management system related to requests from HR and Legal.
- Monitor all files that have been checked out in File Tracker Pro and notify HR and Legal clients of deadlines for return of files to the Centralized File Room.
- Ensure files are consistently maintained according to Turner Legal's file retention guidelines. Assist with quarterly and/or annual audit activities related to Turner's compliance with Sarbanes-Oxley.
- Perform PeopleSoft research and reporting for name changes, termination dates and other data needed for accurate file maintenance. Run weekly / monthly / quarterly audit reports within PeopleSoft and other systems which support the procecedures and transactions of the MyHR Employee Service Center.
- Prepare documents for off-site storage and maintenance of off-site storage records. Partner with HR divisions to prepare files and other HR documents for shipping to off-site storage. Coordinates file retrievals from off-site storage on request from HR and Legal. Assist the Employee Services Manager with document gathering for internal and external audits and other projects as assigned by the Manager. Manage off-site storage accounts.
- Arrange maintenance of file room space and equipment. Scan files each quarter to ensure file location is updated in File Tracker Pro. Assist HR department with file related projects, as needed. Scan files each quarter to ensure file location is updated in File Tracker Pro.
- Order and maintain file room supplies.
- Perform various clerical duties, as needed, to include scanning documents, mailing out files to outbound locations, photocopying, compiling records, assisting with mailings, etc.
Conduct Routine Data Audits
- Will audit MSS and data entry transactions related to hires, separations, data changes, and corrections in support of data integrity throughout the company s HR and HRIS systems. In addition, this individual will be responsible for running basic queries.
- Partner with Data Ops to process transactions by collecting required information or back-up documentation from clients or HR colleagues, which may require inquiry and follow up for additional information, as needed.
- Perform back-office transaction processing in support of HR functions, including reconciliation, data entry, filing, generate daily reports, retrieving voicemails from various Service Center extensions, sending correspondence, sorting and routing incoming mail.
- Adhere to all Company policies and Service Center policies related to confidentiality and security of personal information when conduction audits and addressing client inquiries.
Qualifications: MINIMUM EXPERIENCE REQUIREMENTS
One (1) to two (2) years of relevant file management experience
Excellent analytical, technical, and communication skills
Detailed orientated; ability to work with minimal supervision
Ability to work in a matrix/cross functional environment
Demonstrated PC and web literacy and ability to learn new technology and software programs including Microsoft Office Suite
Ability to type with minimal grammatical and/or mathematical errors
DESIRABLE REQUIREMENTS
Prior experience with PeopleSoft HCM
Bachelor degree or four (4) or more years of equivalent relevant work experience
