Executive Assistant/House Coordinator
Description:

This position will be split between office coordination and assistant work for our C-Suite Executives. This person will help to organize and run operations of a rapidly growing digital start up. We are seeking an individual who will handle all aspects of the company, including: runs, book-keeping, travel arrangements, invoicing, personal errands, scheduling, and organization. The ideal candidate will have superb organizational skills, an eye for detail, and excellent written and verbal communication skills. It is important for this person to be able to anticipate the needs of the executives, be able to multi-task, and prioritize under pressure in a fast-paced environment. Motivated self-starters will thrive in this role. This person should feel comfortable interacting with various executives and high-level personnel, and should feel confident acting as a liaison between executives and other departments.
Responsibilities:
Administrative duties including: extensive scheduling and coordinating, correspondence, and travel arrangements
Calendar management for executives and all employees
Creating and maintaining house schedule
Event programming in and out of house
Managing production equipment
General house duties (schedule cleaning, landscaping and pool maintenance)
Act as a liaison between various departments
Requirements:
- Exceptional writing and verbal abilities
- Exceptional reliability, punctuality, and promptness
- Highly organized and comfortable in a fast-paced environment
- Ability to prioritize large volume of incoming inquiries and information while coordinating with multiple groups
- Ability to multi-task and prioritize while working in a team oriented environment and with conflicting deadlines
- Ability to manage heavy phone and email correspondence
- Must be a self-starter with a thick skin, able to handle the ever evolving workflow of a start-up environment
- Passion for all things digital and influencer news, talent, and culture
- Experience in managing and coordinating event logistics
- Knowledge and experience in all major forms of social media - YouTube, SnapChat, Instagram, Facebook, Twitter, etc.
- Exceptional time management skills
Qualifications:
- High School diploma required; college degree preferred
- 3 years of entertainment work experience
- Entertainment assistant experience a plus
- Experience assisting two or more executives simultaneously
- Proficiency in Microsoft Office (Excel, PowerPoint, Word) and Mac OS
- Adobe Premiere Pro or Suite preferred, but not required
- Willingness to tackle matters outside area of expertise

Experience with A-list clientele preferred
