Full Time Job
The coordinator is expected to work with the department to help manage the flow of creative materials from inception to final delivery.
Essential Tasks:
• Thorough understanding of active department jobs and clients
• Posting cuts for clients to wiredrive
• Managing wiredrive folders; cleaning up old projects when necessary in after consulting with Producers
• Creating and managing project folders on FTP/Hightail/Wiredrive
• Tracking elements coming from clients using spreadsheets
• Managing list of all assets received for multiple projects
• Set up messengers for delivery
• Sending music cue sheets to clients as directed by Producers
• Submitting invoices and generating POs (music cues, dubbing, materials)
• Create finishing reports/checklists
• Assist with managing the finishing of projects
• Liaise with VO Coordinator/Agent to obtain scratch reads
• Set up VO sessions
• Take minutes at brainstorms and other meetings
• Keeping master Feld TV & Radio spot spreadsheet current with music licensing information
• Expenses
Editorial Side:
• Know what editors are working on each current project
• Downloading assets posted for editorial use
• Notifying AE or Editors when assets have been downloaded
• Keeping Assistant Editor up to date on projects
• Work with 6th floor PAs to return materials
• Assist Editors with locating needed elements
• Working with GFX team to move graphics over to editors
• Instructing Assistant Editors to prep for finished approved spots
• Working with finishing department to archive / unarchive projects
Tasks to learn for continued growth:
• Work closely with GFX department to make sure editors are getting required assets
• Sitting in on creative meetings with Producers
• Learning more about the editorial and post-production process
• Working with Producers to develop client interaction skills
• Participating in brainstorms sessions with Producers to develop creative concepts.
• Proficiency in Keynote, Powerpoint and Photoshop programs
