SUMMARY:
We are seeking a qualified individual to provide administrative support to the Senior Vice President of the Awards department.
RESPONSIBILITIES:
- Answer phones, maintain calendars, and schedule appointments.
- Create letters, invitations, spreadsheets and mailings.
- Maintain contact database.
- Handle sensitive and confidential correspondence, contracts and financial data.
- Maintain current and organized records of events, projects, process manuals, and calendars.
- Manage logistics for departmental meetings and entertaining, scheduling meeting rooms and catering, invitation tracking/RSVPs, etc.
- Support projects of the SVP, including the Special Merit Awards, Pre-telecast Awards and various committee meetings and conference calls.
- Support departmental projects and processes as assigned (e.g., data entry, event/meeting support, telecast-related work, mailings, etc.).
QUALIFICATIONS:
- Bachelor's degree preferred.
- 2+ years of experience as an Administrative or Executive Assistant, preferably in the Entertainment Industry.
- Desire to pursue a career as an Executive Assistant strongly preferred.
- Strong proficiency in MS Office with a typing speed of 50 WPM and prior experience working with spreadsheets and managing databases.
- Strong organizational and time management skills with the ability to multitask and work under pressure of tight deadlines.
- Outstanding telephone skills, including calm under pressure and ability to work effectively with VIPs and their representatives.
- Ability to initiate activities and work effectively as a team member while communicating ideas clearly.
- Attention to detail with the ability to compose grammatically correct and properly formatted correspondences.
- Ability to maintain confidential material.
- Available to work holidays and weekends on a seasonal basis and as needed throughout the year.
- Bilingual in English/Spanish a plus.
