Executive Assistant
Job Description:
Candidate will be required to manage both professional and personal matters for the firm's founder. The position entails office management, administrative duties, travel and personal accommodations for the firm's partners.
Additionally, you will be required to maintain the partner's schedules, including making dinner reservations and complex travel arrangements. You must also display that you are energetic, can multi-task and are able to deal with strict deadlines.
We are looking for someone who takes direction well, follows up on tasks without being reminded and keeps extremely organized. It is extremely important that this person does not let anything fall through the cracks.
Candidate must have a positive attitude and must be ready for anything, ranging from answering high volume phones, scanning, ordering office supplies and organizing files to making dinner reservations and planning extravagant travel.
Responsibilities:
• Position requires you to field all incoming calls with excellent phone manner, being the gatekeeper to the firm and exercising extreme confidentiality
• Candidate must be highly organized and able to multi task in a fast paced, high stress professional environment
• Ideal candidate is proactive with quick decision-making capabilities. Must be very articulate, detail-oriented and exemplify superb writing, organizational and communication skills
• Candidate must manage and update all contacts, calendar appointments and oversee the firm's large legal file database
• Must be a self starter with strong attention to detail
• Candidate must have experience planning very detailed travel both domestically and internationally. Additionally, candidate must work closely with staff to arrange all transportation accommodations within New York City
• Candidate MUST love dogs and must have at least 2 years of prior Administrative/Personal assistant work and must be proficient in MS Word, Excel, Quickbooks and Outlook.
