Boutique lifestyle publicity firm seeks hungry, self motivated, and passionate Executive Assistant to provide administrative support to help manage the day to day of our busy CEO.
Diligence is key to this position and you must be a quick learner with the ability to wear many hats within our busy and tight knit work environment. Communication must come easy along with a keen ability to gauge what is needed before it is asked of you (basic mind reading skills a huge plus).
Work responsibilities would include helping with general office operations while maintaining full administrative support to the CEO. You are adept at organizing and maintaining files, handling confidential information, creating reports, planning and scheduling meetings, managing projects and conducting research, determining priorities, making travel arrangements (itineraries, booking, etc.), preparing and editing interoffice + client correspondence, driving, running errands and much more.
You have deep interests in at least a few of the following areas that we service; Music, Film, Fashion, Technology, Music Festivals, Cosmetics, Design and Publishing (Magazines), Sports, and Healthy Lifestyles. You must also have experience working alongside an Owner/CEO as their Executive Assistant.
We have a tight team and we are in need of another ninja to join us. Our new Executive Assistant must be a hustler who is organized, able to speak up, and will be pro-active at keeping it all together so that our general operation and CEO's workflow runs smoothly.
Must haves:
- Strong communication skills
- Strong organization skills
- Strong administrative writing skills
- Strong research skills
- Lightning quick computer skills (MS Office, Google Docs, Macs a plus)
- Strong time management and problem solving skills
- Profound work ethic, thick skin, and the ability to anticipate and offer suggestions when appropriate
- Deeply self motivated with the ability to log long days virtually as well as in person
- The ability to both be trained and to train others
- The ability to lead when asked of you
- Experience assisting busy executives
- Good knowledge of the internet, social media, and blogosphere
- Can furnish your own laptop computer
- Reliable transportation to the westside and Downtown areas of Los Angeles
Bonus skills:
- Multilingual
- Understanding or experience with social media or publicity
- Familiar with CRM and project management software
- Production experience(pre and post)
- Graphic/web design experience
- Experience working with teams located internationally
- Experience and an interest in the entertainment industry
