Location: Santa Monica  CA

Details: Assistant will assist the CEO with day-to-day administration and support tasks in the fields of music production and publishing. The Executive Assistant will be working under A-list record producers and songwriters.

Responsibilities:

- Manage executives (often-changing) calendars, schedule meetings, arrange conference calls and travel, coordinate team meetings, ordering supplies, photocopying and answering phones, etc .

- Submit, track, & maintain travel and entertainment expenses
Solicit and maintain various budgets including travel & expense, meetings, conventions, IT, and Cap Ex.

- Plan and coordinate budgets, oversee execution of participation in conferences, industry events and special events.

- Maintain and distribute The Brain Executive Travel Calendar which states the executive team’s travel schedules and absences.

- Plan and coordinate Account Meetings
- Take notes and provide summaries of account and internal meetings
- Produce PowerPoint and Excel reports and charts as needed
- Maintain highly confidential and sensitive information
- Other special projects as needed
- Pull Billboard charts weekly and distribute to the team.
- Departments Time Off Tracker (Sick days, vacation, etc.).
- Compose Agendas for Weekly Creative Meeting
- Take Meeting Minutes and Distribute Action Items.
- Sometimes work insane hours

Skills Required:
- Ability to Multi-task
- Motivated Self-starter with excellent communication skills (both written and oral).
- Highly organized, detail oriented, able to multi-task, and work in a “Team” environment.
- Previous experience handling multiple tasks and juggling various priorities
- Ability to maintain focus in high stress environment
- Excellent Microsoft computer skills, including Word, Excel, PowerPoint, etc.
- Excellent Mac skills, iphone, blackberry, etc
- Excellent verbal communication skills for telephone
- Ability to turn last minute projects around quickly on a tight deadline
- Must have outstanding organization skills, with ability to prioritize workload
- Strong attention to detail
- Amazing, positive attitude

Special Requirements/Preferences:

- Prior Experience supporting a Senior-Level Executive a plus
- Prior Entertainment Industry Experience is a major plus

Education:

- Bachelor’s Degree preferred
Salary: Negotiable
