Position Details:
The Agency Group currently has an opening for an Administrative Assistant to a Senior Vice President/Agent in our New York office.
Duties include:
Heavy phone coverage which includes answering calls, conference call scheduling and administration, screening calls to the agent.
Maintaining Agent's calendar within Microsoft Outlook and setting up meetings, scheduling meetings and inputting travel dates.
Contacting promoters and venues for ticket counts and recording all changes for all active tours on agent's roster.
Tracking deposits for confirmed shows and the balances of show payments. Reviewing show settlements and accurately inputting final sales figures. Ensuring artists are paid in both a timely and accurate manner.
Tour itinerary point of contact and liaison to management, label and publicist regarding shows, that are confirmed by agent as well as announce timelines.
Cultivating and maintaining relationships with artist managers, label representatives, media professionals and talent buyers.
Responsible for execution of ticket purchases for local and national concerts which includes tracking, processing and administering all ticket requests purchases.
Any general administrative duties within the agent's office on an as-needed basis.
Requirements:
This position is extremely intense, fast-paced and non-stop. Ideal candidate will be well-spoken, have the ability to quickly problem solve and to think independently.
The ideal candidate will be able to remain flexible, calm and collected while shifting priorities quickly in response to changing circumstances. Must be articulate and have excellent phone etiquette and communication skills.
Must be energetic with an excellent work ethic and an ability to remain focused and detail oriented while multi-tasking at a fast pace on behalf of the agent.
Superb organizational skills mandatory.
Must be highly proficient with Microsoft Office, including complex worksheets within Microsoft Excel (we will test you). Experience within Filemaker Pro a plus.
Ideal candidate will possess knowledge of the music industry's inner workings and an understanding of the day-to-day business of an agency and its interactions with promoters, managers, etc.
