The Walt Disney Studios encompasses the creation, production, promotion, sales, acquisition and domestic and international distribution of live-action and animated motion pictures, home entertainment releases, live stage plays, and music and soundtrack recordings.
We have an exciting opportunity for a Secretary IV (Media) in Burbank, CA.
Responsibilities
• Provide overall administrative support for Vice President and 2 Directors including but not limited to answering phones, maintaining busy calendars and day-to-day meetings.
• Meeting coordination, logistics, preparation, invitations and materials above mentioned executives as well as 1 Digital Media Director & 1 Media Manager, when necessary, for specific film titles.
• Calendar Management; coordinate travel, long range planning and day-to-day meetings.
• Primary contact for all incoming phone calls and communications (both mail and email).
• Maintain Media Department share drive: Save pertinent emails, reports, proposals, plans and creative for each film release.
• Filing of reference materials, background, and overview information as directed by each media lead that may consist of making copies and maintaining file folders and notebooks.
• Preparation of all business related expenses, including travel arrangements, using SAP travel proxy role ensuring expense reports are completed and filed in a timely manner.
• Partnering and working extensively with internal departments and external vendors to provide and/or receive necessary information, materials, approvals, updates, etc.
• Order department supplies/materials and process invoices where necessary using SAP (Casual Buyer Job role)
• Supports departmental projects as needed
• Assist in the preparation of rotation charts for all current films
• Create first draft of rotation from revised network and cable schedules and throughout the films entire campaign
• Prepare documents for rotation meeting and distribution
• Prepares and distributes ABC VOD rotation memos
• Prepares weekly upcoming creative deadline schedule with input from media team.
Basic Qualifications
• Proficient in PC and MAC
• Keynote experience required
• Excellent Computer Skills required – Strong proficiency with Microsoft Outlook, Word, Excel and PowerPoint
• Minimum two years administrative experience at senior management level within entertainment industry
• SAP experience
• Demonstrated ability to prioritize, meet deadlines make decisions, change course of action quickly, flexible
• Detail oriented with the ability to maintain professionalism under pressure
• Exceptional organizational and follow-thru skills with the ability to work on many projects simultaneously
• Effective communicator, both verbally and written
• Positive attitude and the ability to be proactive, resourceful and flexible
• Strong people skills, including the ability to work effectively with other assistants and staff at all levels.
• Team player and easy-going manner to handle varied personalities, responsibilities and assignments.
• Ability to be flexible with work schedule. Some overtime required.
Required Education
• Bachelor's Degree or Equivalent experience
