Responsibilities
• Administrative Responsibilities
• Manage a fast-paced, wide-ranging desk.
• Answer calls.
• Schedule, coordinate, and prioritize influx of meeting/conference call requests and strategically plan the placement of appointments on the calendar.
• Handle meeting coordination, invites, logistics, and agenda/materials distribution.
• Tactfully manage VPs' time and keep them on track in a fast-paced environment.
• Utilize SAP to process invoices and create monthly expense reports to ensure accurate and timely reimbursement of business expenses.
• Effectively communicate with internal and external partners/vendors to ensure information is accurately and timely shared.
• Maintain electronic and physical files and data base.
• Manage documents, including formatting, redlining, proofreading, obtaining signatures, and handling distribution.
• Prepare transmittal letters and other memoranda.
• Take a leading role in working with the team to develop, coordinate, and implement effective and efficient processes and systems.
• Order supplies/materials and manage inventory.
• Arrange and organize business trips, both domestically and internationally.
• Organize employee activities/events such as catering, room set-up, etc.
• Additional Responsibilities
• Assist team members with compiling Keynote and PowerPoint decks for various presentations.
• Provide back-up to other assistants within the group.
• Assist in any additional departmental projects as needed.
Basic Qualifications
• Minimum three (3) years' executive administrative support experience.
• Excellent computer skills – proficiency with Microsoft Outlook, Word, Excel, Keynote, PowerPoint, SAP.
• Effective communication skills, both verbal and written.
• Strong proofreading skills.
• Demonstrated ability to prioritize, meet deadlines, make decisions, change course of action quickly, and be flexible.
• Detail-oriented with the ability to maintain professionalism under pressure.
• Ability to multi-task with urgency and accuracy.
• Positive attitude and the ability to be proactive, resourceful, and flexible.
• Strong people skills, including the ability to work collaboratively and effectively with other assistants and staff at all levels.
• Team player and easy-going manner to handle varied personalities, responsibilities, and assignments.
• Ability to maintain standards of strict confidentiality with respect to all matters and documents.
• Excellent organizational skills and strong follow-up and follow-through capabilities.
• Ability to take initiative and work with limited supervision.
• Proactive in thinking of ways to improve productivity and efficiency.
• Willingness to learn new skills.
Preferred Qualifications
• Previous executive support experience in the entertainment industry.
Required Education
• Associate's degree.
Preferred Education
• Bachelor's degree strongly preferred.
