Under general supervision of the Director of Administrative Services and direction of the Licensing Manager/Admin Services Manager, the Licensing Assistant develops, coordinates, and assists with the implementation of the Licensing and Facilities Rental program. Makes changes to Licensing website, promotes campus facilities, researches new business opportunities, and sends contracts and agreements. Performs heavy phone and email contact with clients and campus departments, guides visitors on walkthroughs/walking tours of the campus for prospective events, assists with the preparation of Licensing's quarterly summary report, prepares and maintains cell site spreadsheets and reports, coordinates and provides access to campus facilities for annual equipment upgrades. Monitors status of potential, current, open contracts and closing contracts; reconciles, prepares chargeback forms and check requests; researches questions and discrepancies, and follows-up with internal and external individuals to resolve issues; and interfaces with the campus as required.
Equivalent to four years of full-time, general office clerical and administrative support experience that has provided the applicant with the knowledge and abilities listed. Equivalent to full-time college or university education/vocational school training in business or job-related field may be substituted for up to two years of the required experience on a year for year basis. Experience with marketing, licensing, or web based skills desired. Alpha/numeric data entry at 45 keystrokes per minute. Knowledge, Specialized Skills, and Abilities: Thorough knowledge of correct English grammar, spelling, and punctuation; office methods, procedures, and practices; and university infrastructure, policies, and procedures. Working knowledge of Microsoft Office Suite. Knowledge of the film industry, Photoshop and the web content management system, Drupal is preferred. Ability and specialized skills to: coordinate many different administrative duties; interpret and apply a variety of complex policies and procedures; set deadlines, priorities, and complete projects accordingly; draft and prepare memoranda and correspondence; keep moderately complex records and files; screen mail, telephone calls, and visitors; maintain confidential files; supervise the work of others; perform standard business math, such as calculate ratios and percentages, track financial data, and make simple projections; establish and maintain a cooperative working relationships; read and write a level appropriate to the duties of the position; and operate standard office equipment and software.
