The Third Floor (TTF) is seeking an experienced coordinator to support our Head of Business Development and the BD team as they continue to drive TTF's world-class visualization services toward new horizons. This is a great opportunity for someone with executive support or animation/vfx production experience who is enthusiastic about getting the panoramic view of ''the biz.''
The BD Coordinator must be a highly effective communicator and a salesperson at heart, often acting as the first point of contact with current and future clients, including cold calling and performing due diligence on leads. They must be highly organized and responsive so that our BD team and our clients always feel like they're in the very capable hands of professional filmmakers.
Responsibilities:
• Participation in daily internal meetings to assist in establish prioritized tasks
• Preparation for Interdepartmental meeting agenda's, calendar maintenance and reconciliation/dissemination of meeting minutes
• Advocating Departmental priorities to external departments
• Leading the maintenance and housekeeping of multiple external/internal databases
• Managing calendars and availability for the Head of BD and team
• Fielding inbound/outbound calls from senior industry executives
• Performing research or due diligence (cold calls) to verify leads for potential business
• Tending to the reception and hosting of current/future clients
• Attending industry events and off-site client meetings, as needed, to support the BD team
• Responding to inquiries about the scope of service TTF provides
• Assisting with the development of B2B marketing collateral and keeping stock of literature and swag for the department
Essential Skills:
• High level of professionalism and diplomacy
• Excellent communication and problem-solving skills
• Strong time management and organization skills
• Highly preferred skills with the following software: Filemaker Pro, Excel, Microsoft Office (Word/ PowerPoint), Google Mail/Drive/Sheets/Slides, Keynote (optional), Shotgun (optional)
Personal attributes:
• Ability to be a self-starter and resourceful; driven to succeed and exudes a natural ability to generate business
• Adaptable, flexible and accepting of change, often tossing out ideas and starting anew
• Able to think creatively and resolve challenges and limitations
• Deep knowledge of Industry resources for project and company research
• Ability to anticipate executive needs, and prioritize tasks in a busy production environment
• Knowledge of industry terminology
• Further knowledge of production, animation and vfx terminology and processes is ideal - granting the ability to translate creative ideas/content into action items for business development (proposals and bids)
• High level of professionalism and discretion around high-profile clients
• Trustworthy with confidential materials
