Search for Receptionist jobs in New York-NY
Position Summary
Feature and Television industry-leading facility in lower Manhattan is currently seeking an experienced, professional, personable individual to assume the full-time role of Receptionist. Receptionists are responsible for the operation of all ''front of the house'' and client-facing matters, as well as providing support to the maintenance of the facilities, staff, and marketing.
Primary Duties and Responsibilities
-Manage the main phone line at each location, redirecting calls to clients and taking messages for staff.
-Sort, record, and distribute mail and packages to staff and clients.
-Facilitate client requests for facility and IT help.
-Assist with the distribution and return of keys, keycards, and building passes for both locations as well as the documentation of said activity.
-Inspect and report on premises for orderliness each morning; make coffee and maintain kitchen at second location.
-Record weekly inventory at both locations.
-Communicate with company vendors to update inventory.
-Provide direction to the production assistants, arrange shopping trips.
-Cultivate and maintain friendly, professional demeanor with clients.
-Plan and facilitate events such as holiday parties, cocktail hours, staff outings, and large industry meetings in coordination with -Operations and Accounting departments.
-Arrange, purchase, and document flights and lodgings for staff when needed.
-Update and maintain Xytech database of all client contact information.
-Log petty cash records and make weekly purchases such as flowers, milk etc for both locations.
-Maintain Tapit phone records for clients and generate reports for Accounting on monthly basis.
Additional Duties
-Contribute to Friday breakfast each week in concept and execution.
-Create company signage to convey announcements to clients.
-Additional duties, as assigned.
Qualifications:
Knowledge, Skills, and Experience
-Bachelor's Degree in creative field preferred
-1-2 years office administration experience
-Microsoft Office and Google Docs proficiency required
-Xytech and Trello experience a plus
Other Attributes:
-Ability to multi-task
-Excellent written and verbal communication skills
-Strong organizational and planning skills
-Spanish skills a plus but not required
