Position Summary
The SIM Group is currently seeking an experienced, professional individual to assume the full-time role of Payroll Administrator. The Payroll Administrator will be responsible for the day-to-day operations of the payroll, timekeeping, and payroll reporting processes for all US companies under The SIM Group using the Ceridian Dayforce system. This includes preparing and processing bi-weekly payroll for several entities, managing all changes, reporting, reconciliations, and audits, and serving as a resource for employees with payroll questions.
Primary Duties and Responsibilities:
General Payroll
• Responsible for the preparation, coordination, and processing of a multi-state, bi-weekly payroll for 4+ entities within the United States
• Review and ensure accuracy of approved timesheets, earnings, deductions, accruals, and tax calculations in the payroll system
• Process, manage, and track all necessary payroll deductions, including garnishments, child support, benefits, levies, and other special payroll deductions
• Handle the administration of the electronic timekeeping system
• Prepare and submit employee retirement plan contribution payments to Retirement Plan and employee and employer HSA contributions
• Ensure vacation and sick time is tracked accurately through payroll
Compliance and Reporting
• Ensure compliance with all applicable state and federal wage and hour laws as well as tax filings and proper deductions
• Stay abreast of all timekeeping and payroll law, regulations and tax changes to ensure compliance, implementing changes as required
• Record and monitor all required reportable year end W-2 and 1099 information for accuracy
• Prepare all payroll related monthly journal entries required for close
• On a monthly and annual basis, conduc HSA Payable and Retirement Payable G/L account reconciliations
• Assist in annual audits for Retirement Plan and Workers Compensation
• Prepare bi-weekly, monthly, quarterly and year-end reports (gross payroll, hours worked, vacation accrual, tax deductions, etc.) for management
• Interface with accounting to ensure accurate and timely reporting of payroll financial data
• Monitor payroll related state reports, state tax filings, and regulatory agency communications
• Prepare schedules to support annual compliance reports
Additional Duties
• Lead payroll system implementation and conversion for all companies under the SIM group.
• Provide timely, high quality customer service to our employees with respect to their compensation concerns, including overtime, time off, retirement funds, and benefit deductions
• Facilitate management and employee understanding of payroll procedures.
• Strengthen and develop the relationships with Payroll's internal and external customers
• Work closely with Human Resource effectively communicating verbally and in writing any discrepancies according to the organization's policies and within regulatory, legal and other payroll requirements
• Complete employment verifications, unemployment wage audits, and other necessary wage and hour verifications
• Coordinate regularly with human resources, accounting, and other departments to ensure proper flow and maintenance of employee data (including preparation/distribution of detailed reports, e.g. labor'' home'' work, overtime, leave balances, head count, and retirement contribution reports)
• Recommend changes in methods or procedures to improve the efficiency of the payroll function.
• Assist with ongoing set up, testing and maintenance of the payroll and HRIS system
• Assist Human Resources with updating and managing payroll records (e.g., updating employee personnel records, employment records, and benefit changes)
• Additional duties, as assigned
Qualifications:
Knowledge, Skills, and Experience
• Minimum of Associates degree in a related field required, Bachelor degree preferred
• CPP preferred
• Minimum 4 years of experience with all payroll functions, including processing multi-state payroll.
• Experience with system upgrades enhancements or conversion projects is plus
• Experience with Ceridian Dayforce preferred
• Strong working knowledge of payroll processing, payroll tax laws and related IRS reporting requirements.
• Knowledge of accounting that includes spreadsheets and relational data base programs.
• Knowledge of accounting software (i.e. Great Plains, QuickBooks).
• Working knowledge of Microsoft Office, with a proficiency in Microsoft Excel required and Access preferred.
• Strong skills using and understanding the flow of transactions in an integrated and automated payroll accounting system

• Ability to handle confidential information in a professional manner
• Ability to work well within a team environment under pressure and with minimal supervision, adhering to tight deadlines handle multiple tasks

• Excellent problem solving/judgment skills, and high level of attention to detail and accuracy
• Capacity for listening, dealing with confrontation, and overcoming objections all with a customer-centric mentality
Working Conditions and Physical Effort:
• Work is normally performed in a typical interior/office work environment
• Some physical effort required as everyone on the Sim team is asked from time to time to pitch in and help share the load.
• Some exposure to physical risk
