SUMMARY: The Coordinator in the Office of the President/CEO & National Officers is responsible for coordinating projects taken on by the Executive Office, reporting to the Director of Administration. The qualified candidate should demonstrate a desire to work in a fast paced and work intensive environment.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
1. National Officer/Trustee Projects
• Provides Support during the Trustee Meeting Report Process (Academy Report Electronic Binders and Folders)
• Trustee Meeting Support
• Trustee Projects
2. President's Office Awards
• President's Merit Awards
• Letters of Commendation
• Trustee Term-Out Certificates
• Trustee Awards
• National Officer & Legal Counsel Medallions
3. President's Office/National Officer Gifting
• Responsible For Purchasing/Tracking All Gifts
• Congratulations/Thank You gifts
• Holiday Gifting
• Trustee Meeting and National Officer Gifts
4. Charitable Events/Contributions
• Coordinate the President's Office Contributions/Event Budget which encompasses the Academy's involvement with external charity event support, internal event support, and memorial donations
• Assist President in determining level of participation
• Coordinate Tribute Ads and internal approval process
5. VIP GRAMMY, Latin GRAMMY and Telecast Ticketing
• Coordinate President's & Chairman's ticketing budget, ticket allocation and disbursement
• Assist with hand seating ''Presidential Seating'' (Label and Publishing heads, TV Committee, National Officers, Trustees, Chapter Presidents)
• Liaison between music industry VIPs and Ticketing
6. Events
• Coordinate Salute to Industry Icon Invitations, RSVPs, Ticket Bundling, and Logistics
7. Additional Responsibilities Include: (but are not limited to)
• Record Label Heads Group (formerly PAC)
• Notecard formatting & revisions for President/CEO speaking points
• Format & process President/CEO correspondence
• Maintain & organize ''In Memoriam'' segment submissions for telecast
• Oversee President's Office IT needs
• Event Photo Distribution (including GRAMMY Awards artist photos)
• Aide in choosing appropriate shots for specific internal and external usage
• Photoshop services
• Subscriptions
• In-house Photographer
• Order Office Supplies
• GRAMMY Lapel Pin Distribution
• Holiday Cards
• Record Label Relations
• Artist/Management Relations
• Process P-card statement / expense report
• Various administrative duties such as filing, faxing, phones, writing/editing outgoing correspondence, mass mailing, copying, data entry, invoice processing and database maintenance
• Miscellaneous projects assigned
QUALIFICATIONS:
• Bachelor's Degree preferred.
• 2 - 3 years of administrative experience supporting high level executives, preferably in the music or entertainment industry.
• Proficiency in Microsoft Office, FileMaker Pro, and Photoshop.
• Excellent organizational and general administrative skills with solid grammar, punctuation skills, attention to detail, and the ability to type 50 WPM.
• Excellent customer service and interpersonal skills with the ability to liaise with executive level clients and departments both internal/external.
• A positive outlook and flexible demeanor with the ability to take direction and critical feedback.
• Self-motivated with excellent judgement skills, ability to think outside the box, and take ownership of projects from beginning to end.
• Must be punctual with the ability to work overtime as needed.
