TFG-The Friedman Group is a well connected premier Los Angeles Entertainment and Corporate Brand Enhancement Company that focuses on entertainment and luxury consumer brands. We are seeking a Client Relations Coordinator / Executive Assistant who will work alongside the President as the key driver of managing the administrative and reporting functions of the company. This exciting role will also interact with a prestigious roster of entertainment and business clients and will require a superb level of service in a face paced environment.
The Ideal Candidate will possess significant experience (at least 8 years) with proven success in the following areas:
• Working knowledge of the entertainment industry including key companies and players at studios, networks and representation firms
• Ability to work favorably, in a an administrative capacity with high level business executives and executive assistants across multiple business segments, including luxury brands [i.e. five-star hotels and resorts] Managing all general office and administrative duties including detailed client reporting, such as activity logs and meeting notes
• Ability to execute under pressure, while maintaining a professional demeanor when working with Celebrities, Studio Executives, Talent Managers/Agents etc., and high profile clientele within the entertainment industry
• Being able to work independently with little or no supervision and handle typical executive assistant responsibilities along with other projects and duties at the President's discretion/direction
• Ability to be flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality
• Work under deadlines and successfully prioritize workload
• Coordinating travel and transportation for events
Daily Responsibilities and Accountabilities will include:
• Manage all aspects of daily communication with high profile entertainment clients across a wide variety of channels and market segments
• Create, prepare and manage weekly and monthly client activity reports, which are critical to the effectiveness of the company
• Provide executive administrative support and follow up for the office including phones, client correspondence, calendars, etc.
• Coordinate and assist in planning and executing client events: researching vendors and getting quotes, site inspections, guest list development, sending invitations, tracking RSVPs
• Prepare and manage monthly expenses and invoices
• Build industry relationships, research and report new business prospects to the President
• Manage all social media activities for TFG
• Take notes during conference calls and build them into client activity reports
Position Requirements
• Minimum 8 years' experience as an Executive Assistant or Coordinator required within the Entertainment Industry
• Strong sense of responsibility, ownership, and pride in delivering quality results Ability and expectation to multi-task at times without supervision
• Incredibly organized, with a detailed, forward thinking mentality
• Must have excellent written and verbal business communication skills
• Positive, mature, team-oriented attitude
• Thoroughly proficient and able to display skills and experience with Microsoft Office Products including Excel, Word, PowerPoint, and Outlook
• Proficient with posting and generating traffic across multiple Social Media platforms
• Must be able to thrive in a fast paced small office environment. Self-directed and proactive, while motivated to take action and work independently
• Ability to protect confidential information, solve problems and meet deadlines
