Job Description for Rights Management Paralegal
Summary: Oversee Rights Management, including production compliance, anti-piracy, option tracking, and related functions
Daily Responsibilities will include, but are not limited to the following:
• Work with IT and other departments in the design through implementation of workflow, manual and electronic set-up of potential Rights Management system
• Supervise the maintenance of proposed Rights Management system, including, data-entry of information, research department agreements and information, maintenance of docket calendar and appropriate follow up, consolidate and/or summarize documents and information for indexing in the Rights Management system
• Archive files to offsite storage, prepare forms, scan or photocopy documents, and other related duties as required
• Work closely with Programming, Web & New Media, Production and all relevant teams to review all third-party clearances and acquisitions
• Review executed agreements and track information
• Provide regular status reporting and control within the Legal department regarding the status of various agreements and projects
• Handle phones and/or email requests
• Review all original programming for standards & practices, before air
• Create/maintain production binder guidelines; music cue sheet guidelines; Final Edit Report/FER guidelines, etc.
• Monitor third-party sites (YouTube, Twitter, Facebook, etc.), for copyright violations and send appropriate notices
• Monitor tennischannel.com to ensure compliance with programming agreements and escalate issues to supervisor
• Maintain option calendar of contract expirations and option pick-up dates for third-party vendors, independent contractors, programming and employee contracts; draft option letters, as needed
• Address and resolve standards & practices issues working with programming and ad sales
• Create Rights and Availability charts for various departments
• Create forms including fillable PDFs for in-house use within Tennis Channel's various departments
• Create rate cards for third-party footage licensing/dubbing/research charges
• Track/log music cue sheets
• Review/log all original programming and live tournament cue sheets after training production on completion process
• Submit cue sheets to music societies
• Review short forms and original programming for possible licensing out to third parties
• Review/approve all original programming and corresponding binders for:
o Material, Appearance and Location releases
o Completed Final Edit Report and Cue Sheet
o Invoices for any additional clearance fees incurred
o Obligatory credits
o Approve for air/final payment
• Catalog and maintain library of production binders
Qualifications:
• 3-5 years of Entertainment Rights & Availability experience, including filing, creating and maintaining files and indexing documents into a records management database
• Prior experience with Entertainment Rights Management systems is preferred
• Attention to detail and ability to handle confidential information with utmost discretion is required
• College degree preferred
• Familiarity with Motion Picture and Television industry records
• Knowledge of legal documents and terminology preferred
• Thorough understanding of each indexed document is necessary in order to assure integrity and accurate entry of information
• Ability to multi-task, prioritize projects and complete assignments in an accurate and timely manner
• Strong organizational and problem-solving skills
• Willing to work on new programs and projects
• Ability to exercise strong judgment
• Excellent written and oral communication skills
• Excellent interpersonal skills
• Strong work ethic and ability to work independently and as part of a team, in a fast-paced environment
• Highly proficient in MS Office
